1. Objective

 The objective of this event is to highlight the achievements of Shabake 2 project in supporting sustainable agricultural practices and economic resilience in Bekaa, facilitating networking among stakeholders, and promoting the region's rich culinary heritage.

- Location: Boulevard Zahle- the municipality will close the road specifically for the event
- Time: Late afternoon
- Date: First week of June

1. Role of Event Management Entity/Company:

The selected company will handle comprehensive event management, including but not limited:

• Stage and Equipment: Installation of an 8m x 3m Stage, a 5 m x 3m . LED screen ,sound system, lighting and electrical setups.
• Entertainment: Booking and coordination of 2-3 entertainment bands.
• Staffing: Provision of 6 staff members to assist with event setup, coordination, and management.
• Facilities: Setup of 12 trash bins, 100 chairs with transport, and other amenities.
• Promotion: Coordination of a month-long radio campaign.
• Media Coverage: Engagement of photographers and videographers, including drone footage.
• Technical Support: Coordination with an electrical technician to ensure all technical aspects are managed effectively.
• Conceptualizing and planning the event program

1. Company qualification

• Experience: Proven experience in managing large-scale events, particularly outdoors and with complex technical demands.
• Technical Expertise: Strong capability in handling sophisticated audiovisual equipment.
• Resource Management: Demonstrated ability to efficiently source and manage event resources and personnel.
• Legal documents:
• Commercial Circular
• Fiscal Certificate of Incorporation at the Ministry of Finance
• VAT Certificate of Registration
• ID of company’s authorized representative(s)

5. Reputation and References

• Applicants should have a positive industry reputation, backed by client testimonials, references, and a portfolio of successfully managed events.

Previous experience working with reputable clients or organizations on high-profile events.

1. Evaluation

• The quotation’s evaluation process will consider following with assigned weights:

1. Payment Terms

• Payments will be made only through bank transfer or bank cheques
• The price will be paid in USD while the VAT will be paid in LBP based on the official exchange rate on the date of the invoice.
• Payment will be made within 20 business days of invoice receipt.
