We are seeking a dedicated and organized Finance and Administrative Assistant to join our team. The ideal candidate will have a high-level of self-awareness, cultural sensitivity to marginalized and diverse groups, have at least two years of experience in administrative, financial, and logistical support roles. This position will play a crucial role in organizing logistics for travel, workshops, events, and online meetings, preparing payment requests, following up with vendors, and maintaining documentation.
ESSENTIAL JOB FUNCTIONS:
- Administrative Support:
- Assist in the day-to-day administrative tasks.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Update and track the office inventory list
- Financial Support:
- Prepare and process payment requests.
- Assist in budget preparation and expense tracking.
- Follow up with vendors regarding invoices and payments.
- Coordinate with other finance team members
- Logistical Support:
- Organize logistics for travel, including booking flights, accommodations, and transportation.
- Coordinate logistics for workshops, events, and online meetings.
- Ensure all necessary materials and equipment are available for events and meetings.
- Support the Operations Manager in the procurement and goods and services for the office and program.
- Documentation:
- Maintain and update admin and financial documentation and records.
- Ensure all documents are properly filed and accessible on IWPR database.
- Assist in the preparation of financial and admin reports.
QUALIFICATIONS and REQUIREMENTS:
To be considered candidates are required to possess the following qualifications:
- Education:
- Bachelor’s degree in business administration, finance. management, or a related field preferred.
- Experience:
- Minimum of two years of experience in a similar role.
- Experience in administrative, financial, and logistical support.
- Skills:
- Excellent organizational and time-management skills.
- Strong attention to detail and problem-solving abilities.
- Proficiency in MS Suite and MS 365 (Word, Excel, Outlook).
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Languages
- Fluent in Arabic and English
- Fluency in French is a plus
