Description: 

We are seeking a dedicated and organized Finance and Administrative Assistant to join our team. The ideal candidate will have a high-level of self-awareness, cultural sensitivity to marginalized and diverse groups, have at least two years of experience in administrative, financial, and logistical support roles. This position will play a crucial role in organizing logistics for travel, workshops, events, and online meetings, preparing payment requests, following up with vendors, and maintaining documentation.

ESSENTIAL JOB FUNCTIONS:

  • Administrative Support:
    • Assist in the day-to-day administrative tasks.
    • Manage calendars, schedule meetings, and coordinate appointments.
    • Prepare and edit correspondence, communications, presentations, and other documents.
    • Update and track the office inventory list
  • Financial Support:
    • Prepare and process payment requests.
    • Assist in budget preparation and expense tracking.
    • Follow up with vendors regarding invoices and payments.
    • Coordinate with other finance team members
  • Logistical Support:
    • Organize logistics for travel, including booking flights, accommodations, and transportation.
    • Coordinate logistics for workshops, events, and online meetings.
    • Ensure all necessary materials and equipment are available for events and meetings.
    • Support the Operations Manager in the procurement and goods and services for the office and program.
  • Documentation:
    • Maintain and update admin and financial documentation and records.
    • Ensure all documents are properly filed and accessible on IWPR database.
    • Assist in the preparation of financial and admin reports.

 

QUALIFICATIONS and REQUIREMENTS:

To be considered candidates are required to possess the following qualifications:

  • Education:
    • Bachelor’s degree in business administration, finance. management, or a related field preferred.
  • Experience:
    • Minimum of two years of experience in a similar role.
    • Experience in administrative, financial, and logistical support.
  • Skills:
    • Excellent organizational and time-management skills.
    • Strong attention to detail and problem-solving abilities.
    • Proficiency in MS Suite and MS 365 (Word, Excel, Outlook).
    • Strong communication and interpersonal skills.
    • Ability to work independently and as part of a team.
  • Languages
    • Fluent in Arabic and English
    • Fluency in French is a plus
