Objectives of the position

The LHDF Membership & Administration Officer is responsible for providing membership services, supporting operational guidance and coordination while ensuring core administrative, logistical, and information management support to the LHDF Forum Coordinator and LHDF Steering Committee.  The position is hosted by Hhmaya (contractually) and reports to the LHDF Forum Coordinator.

 

Responsibilities

 

  • Develop good working relationships and coordinate with LHDF members and partners, to better facilitate rapid information flow, knowledge management and reporting for effective implementation of LHDF-related activities;
  • Conduct regular field visits to the LHDF members
  • Facilitate and support data collection and information about LHDF members activities to support LHDF coordination and relay to the Communication and Advocacy expert relevant items under communications and advocacy;
  • Gather information and success stories about the activities of the LHDF members, and relay to the Communication and Advocacy expert to share them on LHDF different social media platforms;
  • Assist, in coordination with LHDF Forum Coordinator and Host Agency Project Manager, periodic LHDF project reporting to relevant donors and integrate tracking of LHDF-related project expenses on a regular basis;
  • Maintain up-to-date contact lists of LHDF members, observers, and relevant partners including UN agencies, local/national NGOs, and the donor/diplomatic community.
  • Ensure in collaboration with the communication and advocacy expert that relevant reports, announcements, and updates are timely and consistently circulated to LHDF members, observers and partners via regular LHDF digest emails.
  • Maintain various online folders, ensuring the information remains systematically up-to-date, and support LHDF Coordinator in updating the LHDF Website;
  • Provide unofficial translation of written text from English to Arabic and Arabic to English as needed (e.g., media articles, government decrees, LHDF communications materials).
  • Prepare and disseminate detailed notes of different LHDF coordination meetings in addition to tracking member attendance and participation statistics.
  • Assist the Forum Coordinator and Advocacy Advisor in preparing PPT presentations (i.e for the monthly plenary meetings, ad-hoc meetings, events, workshops, …).
  • Serve as the executive officer to the LHDF Coordinator and LHDF Steering Committee.
  • Serve as Secretariat of the Membership Committee

Education Degree Details:
● University degree in Social Sciences, Management, Business or any other relevant field; ● Minimum 3 years of experience in project and office management, administration and/or logistical support, preferably with national and/or international humanitarian or development NGOs; ● Fluent in English and Arabic, both written and spoken, is mandatory. ● Fluency in French is a plus. ● Proficiency in Microsoft Office applications including Excel, Word, and PowerPoint; basic website management skills desirable ● Working well with people. ● Planning and delivering results ● Coping with change ● Ability to respect confidentiality is essential ● Ability to work productively both independently and within a team, detail-oriented, energetic, and flexible ● Ability to multitask and deliver a wide range of tasks, often within short deadlines. ● Commitment to humanitarian principles and to working in partnership across organizations.
