  • Coordinate and schedule appointments based on the availability of specialists and service users, and confirm the appointments accordingly.
  • Arrange room bookings as required for appointments and meetings.
  • Liaise and coordinate with specialists, case managers, and social workers to ensure comprehensive care for beneficiaries.
  • Facilitate the access of beneficiaries to the needed service, through scheduled appointments, ensuring punctuality and timely service.
  • Notify specialists promptly of beneficiaries' arrivals or cancellations.
  • Prepare transportation payment vouchers for beneficiaries and process reimbursement for their transportation expenses.
  • Manage inbound and outbound calls efficiently and in a timely manner.
  • Address inquiries from visitors and callers, providing necessary information or referring them to the appropriate resources.
  • Enter data accurately into the software system to maintain up-to-date records and documentation, while respecting confidentiality and data protection
  • Create, organize, and maintain digital and hardcopy files, ensuring efficient file management systems.
  • Enforce Center security measures by controlling room access and adhering to safety protocols.
  • Greet and assist beneficiaries via phone or in person, directing them to the appropriate services.
  • Handle incoming phone calls, directing them to the relevant personnel or departments.
  • Document new referrals received through walk-ins or phone inquiries.
  • Address beneficiaries’ inquiries promptly and liaise with the relevant departments to provide necessary assistance.
  • Update and maintain accurate documentation of service users’ data.
  • Prepare copies of necessary tests and tools required by doctors and specialists.
  • Verify transportation expenses and prepare receipts for reimbursement accurately.
