The Operations Manager is a dual-role involving full spectrum Human Resources and Operations Management responsibilities.

The Operations Manager is responsible for the day-to-day administration of the projects. S/he supports the Program Manager by taking care of operational support duties. The position holder shall foster a culture of accountability and ensure that organizational resources are used in the most cost-effective manner. This position requires a high degree of confidentiality in dealing with personnel and finance matters. S/he must be friendly, courteous, and have a professional approach towards staff.

SCOPE OF ROLE:

Position Title: Operations Manager
Reports to: Executive Director
Contract Duration: 1 year

 

TASKS AND RESPONSIBILITIES:

Operations:

  • Fine-tune current operations systems to support the implementation of Red Oak’s Mission
  • Contribute operations information and recommendations to strategic plans and reviews
  • Support the development and oversee the implementation of policies and procedures, including on procurement, inventory, IT, and train and support staff on policies and procedures
  • Work closely with the Executive Director to develop and/or implement policies, analyze and improve organizational process and workflow, employee and space requirements, and implement changes
  • Prepare invitations to potential vendors to compete for offers for the purchase of goods or services including posting RFQ’s/ RFP’s, placing adverts for consultants, etc.
  • Set up lean and effective meeting systems for tactical and strategic decision making
  • Oversee Report including data collecting for reporting including program feedback, testimony, and harvesting information
  • Build and grow feedback loops to document and disseminate the impact of programs to staff, and Funders
  • Work closely with staff to ensure smooth role out of all operations, planning, documentation, and event coordination
  • Manage and develop the weekly internal communications to Red Oak staff
  • Update Executive Director about any deviations, dangers, and risks to the association

Human Resources:

  • Oversee and support team hiring within available programs and budgets in partnership with the Executive Director and manage staff
  • Manage all staff through clear contracts and performance appraisals and KPI's and ensure all personnel contracts and other records are complete and stored in a secure manner
  • Ensure all personnel are trained on code of conduct, child protection, and other policies and guidelines
  • Take all necessary measures to motivate staff and build strong team spirit at all levels
  • Promote regular and ongoing opportunities for all staff to give feedback on program operations
  • Manage freelancers and volunteers

General:

  • Work closely with the Executive Director and senior management on identifying the concerns that should be addressed regarding program budgeting and execution, funding, support, and implementation of new projects and ideas
  • Provide technical assistance to program staff, partners in relation to finance and administrative management
  • Have a key understanding of the working of organizational budgets, financial management system, monitoring of spend and financial decision implications
  • To uphold the standards, policies, and procedures of Red Oak
  • To encourage and maintain open and efficient lines of communications with all staff and relevant stakeholders, both verbal and written

 

EXPERIENCE:

  • Minimum of 5 years work experience in a management position with progressive responsibilities
  • Experience with an international NGO preferred
  • Knowledge of multiple public donors’ regulations highly preferred
  • Staff management experience and abilities that are conducive to a learning environment
  • Knowledge of procurement and office administration/management issues
  • Ability to represent the association at high levels
