  • Controlling material orders and dispatching in order to ensure rational use.
  • Arranging Items in the Warehouse according to MSF Items’ Family Categories and System.
  • Receiving orders and deliveries, identifying potential disparities against cargo manifest or others and reporting them, and storing materials in accordance with the system in force, in order to ensure continuous availability. It includes:
    • Ensuring good storage conditions of all medical items in the pharmacy in accordance with pharmaceutical standards in order to ensure continuous availability.
    • Ensuring correct fill in entries on the stock cards and software.
    • Reporting any discrepancy between items and quantities received and ordered locally or internationally.
  • Preparing orders of the different consumption units (departments, wards, others), ensuring proper packaging, dispatching, delivery and reception at the units. Reporting any anomalies or changes in consumption patterns to the Pharmacy Supervisor. Informing Pharmacy Supervisor as soon as stock reaches alert limit.
    • Controlling Inventories of Units’ Orders when needed if there are illogical ordering patterns.
  • Preparing Donations and loans to other parties, and preparing the documents needed.
  • Refilling Flat and Car Staff Health First Aid Kits regularly; under the Supervision of the Pharmacy Supervisor.
  • Controlling warehouse facilities in order to ensure materials are kept in good Storage conditions, including:
    • Monitoring temperature in the warehouse; filling the Temperature and Humidity form every day.
    • Monitoring the Cold Chain Temperature; filling the Cold Chain Monitoring form every day. Informing logistics team to maintain refrigerating equipment when needed.
    • Ensuring that products requiring cold chain are appropriately stored, prepared, transported, and received according to MSF Supply and Cold Chain protocols.
  • Ensuring cleanliness of premises (stock pharmacy) and in close collaboration with the logistics department.
  • Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising during work, particularly with regards to damage, loss, attempted break-ins or theft in the warehouse.
  • Ensuring that items to be quarantined (on-going quality alerts) or to be placed in quarantine zone (batch recalls, expired or damaged items) are removed from the stock and safely locked.
  • Following up stock levels with regards to alarm thresholds, Stock rupture/Pre-rupture, expired items and Close expiry dated items of the following 6 months. Preparing reports and sending it to the supervisor.
  • Do tasks asked by the Pharmacy Supervisor else the above-mentioned tasks according to the need

In-depth tasks:

  • Ensure the quality control procedure at the reception of the cargos and report any discrepancies to the line manager.
  • Ensure the data entries of the information on Unified and avoid any delays
  • Ensure the stock cards entries (Code/Designation/IN/OUT movement) are up to date.
  • Ensure labelling whether for individual articles on shelves or bulk stock.
  • Inform the Pharmacy Supervisor about reception of any new item, new dose/volume of item, or ruptured/Pre-rupture items.
  • Give support to the hospital units when it comes to pharma stock and inventories to a certain extent that the Warehouse tasks are not affected.
  • Update Unit Order Sheets with correct or new codes and descriptions regularly when needed.
