Project coordination Roles and Responsibilities

  • Planning, management, monitoring and evaluation of livelihood project activities, implemented by the partner organization, ensuring that they are in line with donor requirements and policies of arche noVa:
    • Developing of implementation plan for all livelihood project components together with arche noVa Programme coordinator and implementing partner
    • Ensuring effective, cost efficient and impact-oriented implementation of livelihood activities including budget controlling, spending and reporting in cooperation with Admin/Finance Manager
    • Preparation of the budget forecast and revision if needed in cooperation with the Admin/Finance manager
    • Supervising and monitoring compliance to donor and organizational regulations for all procurement processes within the livelihood project component together with the Logistician and Admin/Finance Manager
    • Continuously monitoring and evaluating of activities, schedules, structures and processes together with MEAL Manager
  • Providing accurate and timely project-related reports in accordance with the donor requirements and

/or formats reports (once per month and on demand)

  • Collaborating with the arche noVa Senior management team and MEAL Manager to further improve indicators, conduct regular assessments to keep activities adjusted to needs and make relevant material available for the visibility of the project and the organization

 

Operational Roles and Responsibilities

    • Providing technical support to the implementing partners and conduct technical partner assessment of the livelihood components together with arche noVa Programme Coordinator
    • Undertaking regular field visits and visits to the implementing partners for technical monitoring and fine-tuning of livelihood activities
    • Providing on-the-job coaching and capacity building for implementing partners of livelihood components together with arche noVa Programme Coordinator
    • Provide support and supervise procurement processes within the livelihood project component
    • Supervise the use of contractors /consultants as required, including defining scope of works, preparation of tender documents, bid evaluations, and contract management.
    • Ensure that all training related interventions are in compliance with international norms and standards, national laws and policies, technical standards and organizational policies;
    • Facilitate planning meetings and workshops when required.
    • Ensure development and facilitate requirement for effective and efficient oversight, support, quality control and reporting systems and processes:
    • Ensure updated project documents, for quality and timely implementation of project.
    • Ensure maintenance of database/archive/records of reports and project documents.
    • Ensure reporting guidelines for field trips, trainings etc. are adhered to donor requirements
    • Participate in meetings with AN regarding progress of the project and clarifying issues/concerns and ensuring implementation of agreements as the case may be.

Monitoring and Reporting

    • Organize and conduct base line study on livelihood together with the MEAL team
    • Provide supervision, guidance, and oversight to field-based supervisors to ensure quality assurance and quality control of construction works and adherence to design specifications and standards.
    • Collect photos from the field when needed.
    • Support MEAL in capturing feedback from beneficiaries.
    • Develop an archive with descriptions and projects for each site for documentation and future reference.
    • Prepare status reports for ongoing activities, as well as collaborate in the assessment reports pre-implementation and evaluation reports post-implementation.
    • Provide /create communication material ( i.e pictures, reportsfF, human interest stories etc.)

Representation and Coordination

    • Communicating and networking with project stakeholders, such as representatives from target municipalities/ Landowner, communities, business associations, local and international NGOs, UN agencies and relevant Ministries and partners together with the Head of Mission and Programme coordinator of arche noVa
    • Participating in working groups and clusters representing arche noVa together with programme coordinator and Head of Mission
    • Regularly update info and reports need for the Livelihood working Group and or Social stability WG
    • Participating in organizational development as well as contributing to the arche noVa country and regional strategy
