Summary:

The Coordinator will play a central role in overseeing all aspects of board, committee, and sub-committee meetings, encompassing scheduling, communication, and venue coordination. They will assume responsibility for minute-taking during meetings, providing comprehensive summaries of proceedings and action items to the NGO Manager. The Coordinator will be tasked with drafting content for the organization's newsletter and written materials, subject to review by the NGO Manager. They will pursue referrals related to children with special needs, facilitate new patient applications at the Special Kids Clinic, and assist in securing consent forms. The Coordinator will maintain records of funds disbursed to patients, ensuring accurate reconciliation of monthly statements, and promptly reporting any discrepancies to the NGO Manager. They will also ensure adherence to the Monthly Communication Calendar and coordinate events with relevant committees and contractors. The Coordinator will capture multimedia content and testimonials from supported individuals, collaborating closely with the related Committee. The Coordinator will primarily be reporting to the NGO Manager and have a dotted line reporting to different committee heads.

 

Role and Responsibilities 

  • Coordinate all aspects of board, committee, and sub-committee meetings, including scheduling, communication, venue arrangements, and coordination among board members. 
  • Take minutes during meetings and report to the NGO Manager, providing an overview of meeting proceedings and action items. 
  • Follow up on OpenMinds donation boxes and concept stores for timely collection. 
  • Draft content for the OpenMinds newsletter and other written materials, subject to review and approval by the NGO Manager.   
  • Follow up on RIMS and forward referrals related to children with special needs for vulnerability assessment. 
  • Facilitate the application process for new patients at the Special Kids Clinic, assist with the consent form completion, and communicate approved applications with parents. 
  • Maintain accurate records of funds disbursed to patients, reconcile monthly statements with expenses, and flag any discrepancies to the NGO Manager. 
  • Ensure adherence to the Monthly Communication Calendar and coordinate events with relevant committees and social media contractors. 
  • Capture photos, videos, and testimonials from families, students, schools, and other parties supported by OpenMinds as needed. 
  • Coordinate with the Scholarship Committee the distribution of donation commitments. 
  • Collaborate with partner schools to obtain student medical reports, monitor student progress, and report any challenges to the NGO Manager. 

 

Minimum Requirements: 

  • Bachelor’s degree (BA/BSc) 
  • Fluency in English & Arabic, knowledge of French is a plus 
  • Excellent writing and communication skills  
  • Good knowledge and ease of use of various social media tools  
  • Working knowledge of M/S Office Suite products (Excel, Word, PowerPoint) 
  • Ability to work with groups. 
 
 

 Recommended: 

  • Previous work experience required with NGOs 
  • Knowledge of collecting and arranging data
