Daily Worker-Admin Officer

MISSION
Goal/purpose:
The admin officer ensures that the cash box and cash books are perfectly maintained, as well as monitoring, inputting and archiving accounting documents.
JOB
Main tasks:
- Establish a statement of needs for liquid assets in consultation with the Administrator
- Carry out withdrawals and payment of salary advances, in accordance with established procedures
- Ensure checks payment for contractor/ suppliers
- Record budget allocations and accounting codes of the expenses
- Before recording, check that the supporting documents complies with Solidarités International procedures
- Ensure that accounting documenting are translated if necessary
- Check the bank statement at the end of the month and prepare bank reconciliation accordingly
- Convert currencies at the line manager’s request
- Check the Archiving of accounting documents in accordance with Solidarités International procedures, after a final check of supporting documentation
- Ensure confidentiality of information
- Collect information’s during the months (overtime sheet, leave request…) and update it in homere
- Collect and checking attendance sheet from head of department (signed)
- Assist in the Record of monthly variables in HOMERE+ prepare monthly HR pack
- Payment of salaries
- Participate in Archiving of the daily HR and accounting documents
- Assist in Sending to all manager the HR information of the next month (leave balance, appraisal to plan, end of trial period, end of contract)
- Participate in the Recruitment process according to defined planning
- Assist in the Preparation of contracts & others docs (IST, CoC, Charter…)
- assist Preparation of amendments of contract

The Admin Officer could be asked other responsibilities and tasks within the framework of his/her job on demand of the Administrative Assistant/ Administrative Manager.
