1- GENERAL OBJECTIVE:

Under the direct supervision of the shelter program manager, the Data Entry Officer will carry out all activities related to data entry of shelter & protection into the mission database, according to PU-AMI protocols and maintaining confidentiality, in order to have reliable and up to date information
The Data Entry Officer is responsible for entering the Bill of Quantities (BoQs) that is drafted by the Field Officers, in the database, as well as printing and entering BoQs, MoUs, Handovers and exporting excel sheets from the database.

2- RESPONSABILITIES AND TASKS:

SPECIFIC OBJECTIVES AND LINKED ACTIVITIES

1. DATA COLLECTION & ENTRY
- Maintain data entry on a daily basis based on field data collection sheets;
- Ensure that the database is up to date and represents the field situation;
- Carry out data collection and assessments remotely/in person if required;
- Ensure accurate and consistent input of data received;
- Manage data entry work.

2. DATABASE MANAGEMENT:
- Update online/offline shelter rehabilitation, Cash for Rent & ECA databases as well as update and generate other relevant excel sheets in accordance with shelter activities when requested;
- Report for shelter activity progress on a weekly basis and as requested;
- Ensure appropriate and chronological documentation of beneficiaries’ contracts and subsequent payments;
- Organize and manage beneficiaries’ files, and ensure that all necessary documentation is available and archived;
- Support the process of issuing payment requests for ECA, CfR & Protection outreach volunteers)
- Manage the bank/Money tranfer agency data base for all the payments.

3. PRINITING & ARCHIVING:
- Print BoQ forms, MoUs, Decision forms, Handovers & follow up sheets according to the line manager’s instructions;
- Maintain, monitor, and archive files in hard copy forms;
- Archive all beneficiaries’ data in files & binders;
- Print out cash payments requests and submit them to line manager.

4. MONITORING & REPORTING:
- Coordinate with the MEAL department about data sharing;
- Report on RAIS/Activity info all targets/assistance achieved as per the instructions of the line manager
- Prepare targets monitoring reports on a weekly basis;
- Assist Team Leader in planning the cost for each unit / Per each batch
- Generate monthly reports;

5. ACCOUNTABILITY, PROTECTION MAINSTREAMING and DATA PROTECTION:
- Stricly apply and promote PU-AMI Data protection policy and International standards
- Mainstream protection standards in programme daily implementation as per the set of PU-AMI’s Protection mainstreaming guidelines, and ensure reporting any breaches/concerns to the line manager for proper action;
- Ensure safe data protection and coding to cases with high sensitivety.

The tasks and responsibilities defined in this job description are non-exhaustive and can evolve depending on the project’s needs.

 

3- PRIORITIES OF THE DEPARTMENT:
- BOQ data entry;
- Update document information for CFR and shelter REHAB;
- Data entry for the compiled attendance sheets under the CBA activity;

QUALIFICATIONS:

MANDATORY REQUIREMENTS:

- Language skills: Fluent in Arabic and English;

- Education degree: Bachelor degree in Statistics, IT, Data Management, Social Work, Social Sciences, Economics, or other relevant field.

- Work experience: Minimum of 1-2 years of experience from working in a relevant position with humanitarian organizations with the following experience: Solid understanding of quantitative data Entry; Experience with data management software and tools (spreadsheets, SQL, ODK, other); Experience in information management and analysis, and M&E approaches and techniques; Solid understanding of Data protectionl; Solid reporting skills.

- Computer skills: Proficiany in Microsoft Office; Knowledge of KoboCollect. Google Earth; SPSS or other analytical software a plus.

- Others: Good knowledge in protection and social related topics; Effective stress management; Ability to work under pressure and with short deadlines; Good problem solving skills; Good knowledge of the humanitarian andcontext; Excellent ability to work in a team; Valid driving license is an asset
