MISSION CONTEXT
The actual intervention context is characterized by remote management modalities of intervention, through Partners. Bring constant support and guidance to the teams and maintain technical quality in the frame of HI integrated approach is the main challenge to take up.
OBJECTIVES
Under the responsibility of the MEAL & IM Supervisor, IM officer will be responsible for the implementation of HI’s information management procedures & framework and ensure that HI’s information procedures and donors’ obligations are respected internally and by partners. In this role, proactivity to find solutions and/or to improve the overall information management is an essential competence.
IM officer must keep all the data confidential, and share it only with the designated persons
ACCOUNTABILITIES
Line manager: MEAL & IM supervisor
Line manager+1: Area Coordinator
Supervise: None
Technical Support: MEAL & IM supervisor and IM team at coordination
In direct coordination with: Program Coordinators and Technical Advisors
RESPONSIBILITIES
Responsibility 1: Data entry – Ensure the data for all projects is on place and up to date.
Objective: Make sure the data is entered on the online systems and keep them in proper database.
Benchmark: data on the system is matching with all papers documents and ensure to have a proper archiving system.
Activities:
- Enter the data collected by the partenrs teams in the online system :
- General assessments
- Rehab and psychological assessment
- Rehab, PSS, MHPSS and inclusion sessions.
- discharge/monitoring forms
- Livelihood assessments.
- Performs regular backups to ensure data preservation.
- Performs high-volume data entry using online system, word processing, spreadsheet, database, or other computer software.
Responsibility 2: Information Management and Quality Assurance
Objective: IM’s process is in accordance with HI and donors standards and regulations demands
Benchmarks: Support the development of tools and studies
Activities
- Verify on a daily basis the information reported on the forms (paper or online system) brought back from partners field (forms should be completely filled, information must be accurate consistent and reliable)
- Coordinate with the program team and or partners if information is missing
- Double check that the information entered in the database strictly corresponds to the information reported on the forms by the field teams
- Keep responsibility of hard files and all documentation related to the project : clearly organize and file the hard files once all quality checks have to be done
- Guarantee the accuracy of information contained in database through regular cross-checking of the information to avoid gaps, overlap or duplication.
- Generate IM reports on trends and progress for internal and external reporting;
- Ensure data quality checks and control to ensure high reliability on the information collected from the field.
- Complete additional assignments related to job functions requested and acknowledged by Line manager.
Responsibility 3: Technical support – Training to technical IM /data worker team of the partners
Objective: HI’s projects are meeting HI minimum quality standards
Benchmark: Capacity-building reports
Activities:
- Support the data workers of partners through capacity building, training, and regular follow up on their data entries and compilation.
- liaise with other data workers of the current and potential partner organizations
- Ensure a good collaboration and close interaction with the field teams to ensure quality of data collection.
- Liaise with IM team at coordination office to to be updated on systems and cooperate in order to improve the systems and solve complicated problems.
- Produce on request relevant information extracted from the database, such as statistical figures, mapping or pre-filled reports.
Responsibility 4: Reporting – Participate to the deliver regular and ad-hoc reports.
Objective: IM reports to be deliver in accurate way
Benchmarks: support the development of tools and studies.
Activities:
- Maintain accurate records of data collected along the project.
- Write weekly activity and progress reports.
- Make sure the information reported on time.
- Extract the data on regular basis form the online system
- Participate to the elaboration of the monthly sitreps.
REQUIREMENTS
Profile required:
- Bachelor’s or Master degree in information managements ,social or computer sciences or related fields;
- In total, 2 years of experience with at least one-year experience at information managements with INGOs/NGOs.
- 1-2 years of experience in data entry or equivalent training.
- Professional and Personal skills:
- Strong analytical and observational skills;
- Strong analytical and statistical skills;
- Very good ability to supervise staff and work in a team;
- Strong knowledge in database management and statistical treatment of data;
- Excellent attention to detail
- Ability to multitask effectively
- Strong written and verbal communication skills
- Ability to perform repetitive tasks with a high degree of accuracy
- Comfortable working independently with minimal supervision
Computer Skills
- Good knowledge of MS office suite, mobile data collection systems, ESRI technology, statistical packages and Adobe Suites;
Language
- English and Arabic are mandatory (Oral and written)
- French is a plus
JOB CONDITIONS
- Remuneration: according to HI salary grid
- Starting date: ASAP
- Duration/ Type of contract: 6 months renewable based on a project timeline and performance
- Others: Transportation allowance + insurance with Fidelity
