Project description
Developing Assistance to Schools and Teachers Improvement (D-RASATI) will enhance educational outcomes in Lebanon by improving teacher and student performance, increasing community and parental involvement, and ameliorating the school learning environment. D-RASATI is a project funded by the United States Agency for International Development (USAID).
 
Title:  Senior Project Assistant
 
The Senior Project Assistant (SPA), under the direction of the Chief of Party (COP), is primarily responsible for providing the COP and other members of the Senior Management Team (SMT) with administrative support. The role encompasses an array of responsibilities from specific administrative tasks, communications support, activity coordination, and processing or preparing correspondence, preparing meeting minutes, providing translation and interpretation support as defined by the COP.   This position reports to the Chief of Party and will be located in Beirut, Lebanon.    
 
Essential functions include [but are not limited to]:
 
The Senior Project Assistant is primarily responsible for providing the COP with day-to-day administrative support and carrying out other specific duties that may include yet not be limited to the following:
Administrative

Provide administrative support to the COP and other members of the Senior Management Team
Keep up-to-date files of all project documents including work plans and quarterly reports for use by COP and also, as appropriate, for use of relevant staff and for project archives
Manage the electronic files on the shared drive and ensure that teams use a standard filing protocol

Attend the regular meetings of D-RASATI chaired by the Finance Director and other meetings as directed by the COP.

Contribute clerical and other support to the COP in the writing of reports, workplans and other deliverables as instructed and in support of the Management Team.

 
Correspondence

Maintain the official registry of correspondence with MEHE

Facilitate communication between D-RASATI and MEHE in terms of administrative matters.
Compose letters addressed to MEHE and follow up on the proper way of delivery and registration at MEHE.
Facilitate approvals between D-RASATI and MEHE.

 
Communications and Activity Coordination

Serve as primary point of contact between staff and COP, delivering documents and other communiqués as directed by the COP and in coordination with appropriate team members as required.
Arrange regular and called meetings of the project personnel with the COP for the purpose of coordinating work and addressing planned and pending activities.
Arrange a weekly in-depth briefing meeting for the COP, including plans for the coming week, anticipated needs and reports on activities underway and accomplishments of the past week (The status of activities will be maintained in an “Activity Matrix” for monitoring and sharing with appropriate management team members).

 
Meeting Support      

Record, circulate, and achieve D-RASATI minutes of meetings as assigned by the COP.
Attend the Partners’ monthly meetings and take minutes.
Offer administrative support in events, trainings and workshop.

 
Translation

Translate select correspondence in English or in Arabic as circumstances require.

 
Qualifications and Requirements:

BA or BS with  2-4 years relevant experience;
Proficiency in 3 or more computer applications, including word processing and Outlook and data base management;
Ability to plan, organize and independently carry out workload priorities to ensure smooth and timely coordination and production;
Strong organizational and analytical skills;
Excellent written and oral communications skills;
Excellent communication in English required.
