Canon Printers Maintenance Contract- LBBT00929

Context

Presented in Lebanon since 2006, Action Against Hunger implements programs of Nutrition Health, Food Security and Livelihoods, Water, Hygiene and Sanitation, Advocacy and Gender equality. These activities are carried out in the regions of Beirut, Tyre and Zahle.  

As part of the improvement of the living and working conditions of Action Against Hunger national staff, international staff, and workmen in Lebanon, the mission is looking for company to provide yearly service maintenance contract for Canon multifunction printers in all Action Against Hunger offices. 

General Objective

 The objective of the assignment is for the Service Provider is to provide frequent labor visits, emergency calls, and cover spare parts which meet the standard policies and required capacity of Action Against Hunger Lebanon.  

Specific Objectives  

1. Preventive maintenance service contract should cover spare parts. Excluding consumables and supplies; including cleaning and checking all parts and components. 

2. Mandatory number of labor visits for Action Against Hunger offices in Beirut, Tyre and Zahle. 

3. Labor visits on emergency call. 

4. Provide technical support for software updates and upgrades as necessary (Example: printer configuration, copying, scanning, firmware upgrades) 

5. Provide training for the staff on the proper use and maintenance of printers. 

6. Regular reporting on the status and condition of the printers. 

Administration & Support

The Company should be able to provide technical support during working hours. Modes of communication can be by phone, skype, Teams and email. On-site support is required for printers’ maintenance and upgrades which require hands-on technical attention

To be eligible to participate in the procurement process, a company must:

In addition, the service contract should include any additional Canon machines purchased in the future. 

The company selected must have a valid business license and insurance. 

Submission of bids

Bids should submit the following documents by email to [email protected]  before February 10th, 2023, before/at 3:00 PM (Beirut Time):

• A detailed proposal outlining the company's experience and capabilities in providing maintenance services for multifunction canon printers.
• A detailed pricing breakdown for the services proposed.
•  Visits schedule:  Minimum of 6 visits per office location / Emergency calls unlimited.  
• References for similar contracts/services with NGO’s or UN agencies with contact details.
• Company registration documents and ID of the owner/, Tax registration Certificate (VAT), MOF registration.
• Bank details.
• Offer validity (minimum 90 days). However, the prices and conditions defined in the contract signed with the selected supplier will be valid for one (1) year after contract signature.

Failure to provide company registration documents may result in disqualification.

Evaluation & Award

• A contract for one year, will be awarded to the company that is determined to be the most responsive and responsible bidder, based on the evaluation criteria outlined in this TOR.
• Application will be evaluated based on the following criteria:
  • profile and experience of the company about the related subject (30%),
  • delivery time (20%), 
  • financial offer (50%).
• The award will be subject to negotiation of final terms and conditions.

Performance Monitoring:

• The contracted company will be required to provide regular reports on the status and condition of the printers, as well as on any issues or problems that arise during the maintenance process.
• All Spare parts should be genuine and subject to warranty.
• The organization reserves the right to terminate the contract if the contracted company fails to meet the requirements outlined in this TOR.
