Responsibilities And Obligations:

  1. Purchase Order Management
  • Approve the Purchase Order Request from program or department managers and administrative coordinators.
  • Select the supplier from the Approved Supplier List (ASL).
  • Initiate ITBs (High Value procurement) and contact the suppliers for quotations, data sheets, catalogues and samples.
  • Review and approve comparative sheets including prices, conditions, terms of payment, and other selection criteria between suppliers and/or previous purchases.
  • Inform the Finance Manager in case of any increase in prices of goods.
  1. Supplier Relationship Management
  • Establish and negotiate contract terms and conditions, and maintain supplier relationships.
  • Evaluate new/old suppliers through the supplier and subcontractor selection & evaluation record in coordination with the Administrative Officers in regional offices.
  • Update the Approved Supplier List on a regular basis and communicate the changes to the regional Administrative Officers.
  • Perform a data entry and identification for any new product (code, details) and suppliers on the Approved Suppliers List.
  • Review and resolve any discrepancies with supplier’s invoices, grievances, claims, conflicts, product non-conformance or quality issues.
  1. Coordination and Documentation
  • Coordinate with the accounting department for payments.
  • Archive all documents and catalogues related to the department.
  • Coordinate the place and time for deliveries of the purchase with the concerned person.
  1. Reporting and Inventory Management
  • Report on a monthly basis to the Finance Manager.
  • Conduct weekly and yearly inventories and submit respective reports to the Finance Manager.
  • Perform quarterly spot-checks in all regional offices, and check the inventories and the assets.
  • Responsible for all logistics activities in himaya premises.
  • Conduct yearly Performance Appraisals with Admin Officers and Coordinators.
  • Monitor the car fleet and verify the mileage and fuel trackers on a monthly basis.
  • Responsible for all mandatory and optional insurance agreement and their renewals.
  • Monitor Partners ‘audit files and ensure compliance.
  1. Miscellaneous:
  • Demonstrate a thorough knowledge of himaya by effectively communicating information about its activities, projects, mission, values, and history.
  • Adhere to the mission and values of himaya by adopting and conveying its core values and concepts in both personal and professional contexts.
  • Participate in all activities and events organized by himaya (e.g., staff care, Christmas events, end-of-year gatherings).
  • Respect the Code of Conduct, the Child Protection Safeguarding Policy, the PSEAH Policy, and all internal regulations
