JOB TITLE:            Part time Administrative Assistant

DEPARTMENT: English Language Department, Amideast/Lebanon

REPORTS TO:     Director, English Language Department

 

Overview

 

The Administrative Assistant will support all Amideast/Lebanon English language courses and services and work as a team member within the department to ensure achievement of department and project goals. Job responsibilities require the Administrative Assistant to project a knowledgeable and professional demeanor and positive customer-service oriented attitude, while maintaining high ethical standards to ensure professional representation of Amideast at all times.

 

Primary Duties and Responsibilities

 

The primary duties and responsibilities of this position include, but are not limited to, the following:

 

  • Receive and assist all visitors to the English Language department or help direct them as appropriate to colleagues in the department or within the organization
  • Answer phones, providing accurate information or helping to direct callers as appropriate.
  • Handle all aspects of registration of students within Amideast’s ProClass system.
  • Keep meticulous client logs and records and report status on a daily basis to supervisor.
  • Promote English Language courses in the reception area among walk-in visitors and clients.
  • Handle all aspects of the administrative work of the department such as preparing schedules, teacher grade sheets, class rosters, and time sheets.
  • Conduct classroom evaluation, teaching evaluation, student evaluation and feedback gathering; and generate the required reports
  • Develop any necessary documentation, reports, statistics, and data required by Amideast/HQ for Director’s submission.
  • Assist in the preparation of new project proposals and offers
  • Maintain a meticulous and proper filing system to ensure access to all data and documents
  • Update the promotional materials of all related English Language courses
  • Handle all administrative aspects of both off-site and on-site English Language courses
  • Submit all requests for issuing invoices to corporate clients to the Accounting Department.
  • Coordinate book inventory and order forecast with the Administration Department.
  • Participate in and assist with educational fairs and/or other Amideast project events.
  • Support the work of all other department colleagues to ensure all department programs are promoted, developed, implemented, and delivered successfully.
  • Develop a full understanding of all Amideast programs and services to help guide visitors and clients as appropriate.

 

In addition to the above primary duties, Administrative Assistant will work as an effective team member to support the work of other Amideast colleagues and programs as directed by the immediate supervisor, the Office Manager, or the Country Director.

 

 

Required Qualifications

 

  1. BA in English Language, Education, or Business, or other relevant field
  2. Excellent command of English and Arabic required. French fluency preferred.
  3. Skills and Abilities:
        • Excellent interpersonal and communication skills
        • Outgoing and pleasant personality with excellent customer-service orientation
        • Ability to deal professionally with confidential data
        • Excellent computer literacy (excel, word, MS Office, internet research)
        • Ability to juggle multiple tasks with high attention to details
        • Ability to work effectively and efficiently despite pressure and with constant interruptions by clients and visitors
        • Ability to treat objectively all clients and provide impartial information
  4. Accessible to our Beirut downtown office in person, not remote work.

 

Working Conditions

The work will be located in a typical office setting as well as occasional weekend and evening hours within the office or outside the office at different public venues.
