Administrative and Operations Executive
Assist in daily office needs and overseeing Inaash’s general administrative activities to ensure an effective workflow:
- Filing paperwork, answering phone calls, archiving memos and correspondences, preparing documents for meetings, and managing the calendar of the office and the GM
- Receiving the incoming mail and present it to the GM and assign it according to his instructions to the concerned parties.
- Prepare all necessary communication for board meetings and team meetings and ensure that everyone is well informed
- Tracking the record of the arrival and departure times of employees, sick leaves, vacations and time sheet.
-Recruitment
- Implement special projects as: regular eye check-ups for refugee women, planning quarterly social events for embroiderers and the team and possible visits to camps.
- Procurement: to order, maintain and anticipating needed office & production supplies by checking stock level: stationary, packaging branding materials, office supplies… while maintaining and updating suppliers database.
- Assist in sales in the showroom and events, if needed
-Preparing correspondences for Inaash including Acknowledgement & Thank you letters
Assist in the coordination and organization of Inaash's local and international events and exhibitions:
- Reseach and assist in the processing of events and exhibition and fundraising events, locally and internationally
- Coordinate with the production and marketing team
-Book the accommodation, flights and all logistics needed related to local and international travels
Assist in the process of researching, applying and following up for for grants and fundraising for Inaash:
- Assist the General Manager in researching for potential funding and business development oppportubities on a local, regional and international level.
- Monitor donor's call for proposals in coordination with the GM
- Conduct initial write-ups for proposals in coordination with the GM
- Maintain and update existing donors/clients/sponsors databases
-Liaise, coordinate and assisit the accountant for grants payment policies, procedures and transfers
Help build positive relations within the team:
-Maintain a teamwork spirit in working with other Inaash staff
-Perform special duties and assignments, as requested by General Manager
P.R. Role
- Promote Inaash's cause within own circle, with clients, resellers, designers
- Maintain good personal relation with donors, resellers and any external parties
Minimum Requirements:
Literacy:
Proficient in MS Office: Word, Excel and Powerpoint
Excellent Command of Arabic and English. French is an asset and
Excellent writing skills
Skills:
Excellent communication, presentation and organizational skills.
