RFQ-FY23-006-LBN-006 - W-GDP: Business Fair Exhibition

Objective

The-W-GDP: EWLFL believe that small and micro businesses are the real heroes when it comes to supporting local economies, creating innovative solutions, and keeping the entrepreneurial   spirit alive in Lebanon. Therefore, the W-GDP: EWLFL project is seeking a service provider: Businesses Trade/ exhibition Planner to promote Lebanese women-led enterprises which can stimulate and reinforce their sales generation and to look into new ways of promoting the women led-enterprises and allow them to scale up and to drive more business. The objective of the exhibition is to raise awareness and visibility to those enterprises to create opportunities to those women and support them in becoming successful entrepreneurs.

The exhibition objective is to attract new clients, investors, educate people about the W-GDP: EWLFL women program participants owners of small and micro businesses. In addition to educate potential customers about the products and services the MSMEs have to offer.

Another purpose of the exhibition is for the women entrepreneurs to network with multiple stakeholders within the sector.

Scope of Work

The exhibition will have 200 booths. Each business will have visibility material such as rollup banners and take-away material such as a brochure including the 200 businesses participating in the exhibition and a business card for each business:

  • The roll-up banner should include the following in both Arabic and English:
    • Business overview of the enterprise such as brief introduction of the business, products/services (narrative and imagery), business sector.
    • Business contact (email, number, location, etc.)
    • Brand recognition such as Logo of the enterprise if found
    • The W-GDP: EWLFL web directory address
  • Each business card should include:
    • Business name, number, location and brand recognition such as logo if found.
    • The W-GDP: EWLFL web directory
  • 800 - 1000 Brochures including the name of all the businesses participating in the exhibition, booth’s location/map, web-directory address
  • 2 big size roll-up banners for the W-GDP: EWLFL program following the program’s branding and marking plan. The banner’s size will be determined once the exhibition location is identified.
  • 4 regular size roll-up banners for the W-GDP: EWLFL program following the program’s branding and marking plan.

Responsibilities of the service provider:

  • Provide suitable venue options and handle the booking of the selected venue
  • Ensure that all acoustic, lighting, electronics and overall exhibition setup and floor plan. Noting that the venue should have restrooms and a refreshments area
  • All logistics related activities such as but not limited to transportation of the participants, their products, and their materials, from the enterprise location to the exhibition location and vice versa. Noting that the W-GDP: EWLFL women program’s participants are located all over the region of Lebanon
  • All equipment’s needed to store the food and beverages products of the women entrepreneurs
  • Booths’ creation, development, and installation within a suitable timeline to accommodate the food sector enterprises’ setup time
  • Develop, prepare and print all materials such as visibility material, take-away information and exhibition invitation cards
  • All personnel needed to host the exhibition
  • Lunch break for the women entrepreneurs
  • Refreshments area inside and during the exhibition for visitors

Live performances/ live stations by the women’s program participants. This activity will be discussed in more detail with the service provider for planning and coordination

The service providers are requested to submit a narrative and cost proposal by December 5, 2022 to [email protected] with subject line “ToR Response.” Narrative proposals must answer the following questions:

  1. Please describe your past performance and staff qualifications to complete the scope of work as outlined in the Terms of Reference.
  2. Please describe your ideal timeline and envisioned workflow, based on your understanding of the assignment.
  3. Please provide a brief narrative of your cost proposal to help us understand any broad categories or unfamiliar terms. In addition, if there are any continuing operating costs necessary for the continued operation of the platform you would propose, please explain what those are and give estimates of those costs.
