Overall Role Purpose:   

The priority of this role is to finalize the digitalization of the HR archive.  

 

 

Responsibilities:

Support the HR department in finalizing the digitalization of the HR Archive:

  • Ensuring all HR files are properly organized
  • Share with the procurement and admin team the purchase request for the stationary needed for the hard copied archive
  • Ensuring digitalized complete HR archive
  • If possible, audit internal archive of active employees for completion

If requested, support the HR team in administrating recruitment, payment benefits, and performance development reviews as needed:

  • Posting vacancies
  • Shortlisting applications up to assistant level
  • Booking and monitoring technical tests
  • Booking interviews and supporting in up to assistant level interviews if needed
  • Drafting recruitment reports
  • Completing recruitment files
  • Following up on validated attendance sheets to ensure accurate transportation payment
  • Support in validating and reviewing leave requests
  • Tracking performance development reviews and report to line manager

  • Responsibilities in link to Complaint Response Mechanism (CRM) Accountabilities:

In line with Concern’s commitments under the Core Humanitarian Standard (CHS):

  • Actively promote meaningful community participation and consultation at all stages of the project cycle (planning, implementation, M&E);
  • Work with relevant colleagues  to ensure that the Complaints and Response Mechanism (CRM) is functional and accessible, that feedback and complaints are welcomed and addressed;
  • Work with relevant colleagues to ensure that information about CRM, safeguarding and expected staff behaviour is disseminated among programme participants and communities.

 

 

Requirements:

Experience:

Years of Experience in a relevant role, preferably in the following areas (HR Files Knowledge & Basic HR expereince) : 1 to 2 years

Qualification: Educational level in the following area/s (Business Management / HR)  :Diploma or Vocational training or Technical Training certificate or Secondary education or Training Certificate

Knowledge and Skills:

  • Commitment to Humanitarian Causes & Highly Confidential

  • Languages Needed:  Good Arabic and English

  • Good Communication skills

  • Computer skills : Intermediate Excel, Word , One Drive , Outlook , and Teams

  • Former HR Archiving  experience 

  • Basic HR Administrative Experience (Recruitment, Payment Benefits, and Performance Reviews)

  • Competence at this level is about individuals knowing the signs which may indicate possible abuse, harm or neglect and who to contact and seek advice from if they have concerns.

  • An awareness that adults experiencing stressful situations in their own lives may have caring responsibilities, for other adults or children
  • An awareness and ability to locate local policies and procedures and how to access support to respond to safeguarding concerns
  • An awareness of appropriate action including reporting and documenting concerns safely and seeking advice. Particularly if uncertain whether a safeguarding need is present
  • Building personal confidence, skills and knowledge to take immediate action through local safeguarding procedures. This should include the ability to escalate concerns if action is not taken.
  • An awareness of consent, information sharing, data protection legislation and acting safely to share information.
