Job Overview
We are seeking a motivated and detail-oriented HR and Admin Assistant to support our Human Resources and Administrative functions. This role will assist in various HR activities, including recruitment, employee record maintenance, purchase requisitions, and general administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude.
Responsibilities
Admin and Procurement
- Prepare and draft the organization's procurement requisitions and projects in accordance with SMEX Procurement and Finance Policy.
- Assess with the operations staff members to determine procurement needs, quality, and delivery requirements.
- Maintain office inventories and coordinate equipment maintenance and repairs.
- Manage petty cash, make payments, and document all invoices.
- Book flights and accommodation as needed.
- Organize, schedule, and take meeting minutes.
- Coordinate logistics for organization events, meetings, and training sessions, including booking venues, arranging catering, and managing RSVPs.
- Undertake other admin duties, as required.
Human Resources
- Diligently adhere to and execute the organization’s established HR policies and procedures, following best practices.
- Assist the HR & Admin Manager with the talent acquisition process, including recruitment, interviewing, and hiring of qualified staff.
- Manage job advertisement, screening of candidates, scheduling of the interviews, and conducting reference checks.
- Prepare new hire documentation, coordinate orientation schedules, and conduct initial onboarding sessions.
- Handle sensitive employee information with confidentiality.
- Ensure the smooth running of HR-related administrative tasks, such as contracts, timesheets, social security registration, leave management, and payroll administration.
- Support in the development and implementation of new policies and SOPs that align with the organization’s goals and objectives.
- Draft employment letters and assist with staff requests for various documents.
- Ensure that the organizational chart and staff’s contact information, including regularly updating staff’s personnel files.
- Perform other relevant tasks as assigned by the HR & Admin Manager
Qualifications
- Bachelor's degree in Business or HR or any other relevant university degree.
- At least two years of related experience in HR and admin, preferably with an NGO.
- Proficiency on G-suite.
- Strong interpersonal skills and the ability to work effectively in a team environment.
- Excellent English and Arabic communication and writing skills.
- Detail-oriented.
- Flexible and willing to perform other relevant duties.
- Familiarity with SMEX’s core work.
- Knowledge of digital rights is a strong asset.
