Terre des hommes- Lausanne is seeking one qualified Site Management Assistant based in the South (Nabatieh, Saida or Tyre).

Only candidates subsiding in the above-mentioned areas with a valid driving license will be considered further in the recruitment process.

The primary purpose of the Site Management Assistant is to support the Site Manager in overseeing and coordinating all aspects of site operations. This role ensures that projects are executed efficiently, safely, and within budget while maintaining high standards of quality. The Site Management Assistant acts as a vital link between the site team, internally displaced people, and other stakeholders, facilitating communication and ensuring smooth workflow.

Under the management of the Project Manager, the Site Management Assistant will perform the following tasks:

Job Duties & Responsibilities

Project implementation:

  • Assist with the preparation and maintenance of project documentation, including reports, schedules, and budgets.
  • Manage daily administrative tasks such as filing, data entry, and record keeping.
  • Help coordinate on-site activities and ensure that work progresses according to the project timeline.
  • Monitor and report on the progress of site work, addressing any issues that may arise.
  • Serve as a point of contact between the Site inhabitants, organizations, and other stakeholders.
  • Facilitate effective communication to ensure all parties are informed of project developments and changes.
  • Support the implementation of safety protocols and ensure compliance with health and safety regulations.
  • Conduct regular site safety checks and report any hazards or incidents.
  • Maintain accurate records of site activities, including daily logs, incident reports, and inspection results.
  • Prepare and submit regular reports on project status, resource usage, and safety compliance.

Coordination & Communication:

  • Maintain regular coordination meetings with the partners to assess the progress made under project implementation.
  • Maintain regular coordination meetings with the Project Manager, Program Managers, and Communication Officer.
  • Ensure proper coordination with the external consultants for Social Behavioural Change.

Fundraising and reporting:

  • Contribute to the development of project proposals.
  • Ensure that all partners provide reports as per their partnership agreement and control narrative reports before sending them to the Project Manager.
  • Deliver quality reports about project progress (target + qualitative information) to the Project Manager.
  • Deliver quality reports about the situation in the South to Program Managers.
  • Ensure official reporting of any incident related to child protection. 

Organisational Policies:

  • Respect the Tdh’s Global Code of Conduct (GCD), Child Safeguarding Policy (CSP), Prevention from Sexual Exploitation and Abuse Policy (PSEA) and Policy on Gender and Diversity and its principles of child protection, ensuring the policy’s implementation and prompt notification of the CSP/PSEA Focal Point with any information regarding potential breaches of the policy
  • Is aware of, abide by and promote the practices and values set out in all other Tdh policies and procedures such as the Internal Regulations, Standard Operating Procedures and other policies
  • Undertake all other duties that may be requested by the line-manager and that are compatible with the job
  • Participate actively in weekly and monthly coordination meeting with the line managers

 

Job Requirements:

Academic Background:  Bachelor's Degree in a relevant field (Psychology, social work…). Master’s degree is a plus but not mandatory.

Experience: 2 years’ experience in relevant work.

Professional Competencies:

  • CP and GBV knowledge, international principles & standards, and national Standard Operational Procedures.
  • Able to work with affected internally displaced people.
  • Respect for the institutional framework
  • Computer skills and ability to work on Kobo.
  • Ability to address and resolve issues that arise on-site promptly.
  • Professional working proficiency in English and Arabic
  • Having a valid Driving license is mandatory

Location/Travel:  All South Areas
