Introduction about MSF:

Médecins Sans Frontières (MSF) / أطباء بلا حدود  is an international, independent, medical humanitarian organization that delivers emergency aid to people in 70 countries who are affected by armed conflict, epidemics, natural disasters and exclusion from healthcare. MSF offers assistance to people based on need, irrespective of race, religion, gender or political affiliation and our actions are guided by medical ethics and the principles of neutrality and impartiality.

We offer basic healthcare, perform surgery, fight epidemics, rehabilitate and run hospitals and clinics, carry out vaccination campaigns, operate nutrition centers, and provide mental healthcare. Our activities include the treatment of injuries and disease, maternal care and the provision of humanitarian aid. Where necessary, we set up sanitation systems, supply safe drinking water, and distribute relief to assist survival.

Main Objective of the position:

Ensure registration and admission of patients visiting MSF health facilities and prepare the patient for his/her consultation according to MSF protocols.

 

Accountabilities:

  • Welcome patients, inform them about how the facility functions, and ensure the availability of a comfortable waiting area for them and their relatives.
  • Ensure good flow of patients avoiding overcrowded rooms and having patients standing up for long time while waiting for their turn
  • Bring any patient with an obviously serious medical problem to the attention of the medical assistant/doctor.
  • Identify patients and register their administrative details: The associated activities are, amongst others:  
    • Create and update files for patients according to protocols, and ensure maintaining and filing system in good condition.
    • Taking the patients’ MUAC and noting them on relevant documents if required. (in OCA this is usually done by the triage nurse)
    • Checking vaccination status of children less than 5 years old if required.
    • Put an identification bracelet on the patient with the ID number of the child and the name of the center Refer to SFP those patients fitting the admission criteria for SFP (nutritional program-specific) if required.
    • Ensure, maintain and promote confidentiality regarding all information registered.
  • Keep record of daily attendance, exits (cured, defaulter, death or transfer), and collaborate with the outreach team in their tracing of defaulters to ensure they come back.

Report daily to the hierarchical superior about daily/weekly admissions, defaulters.

 

MSF Context Specific Accountabilities:

  • Receive calls and messages through the helpline and channel all requests to the Triage Nurse.
  • Collect personal and sociodemographic info from the patients – after seeking patient’s consent – via phone or face-to-face.  Ensure that all data collected are entered onto the appropriate databases and are consistent, accurate and complete.
  • Import data from old LineList and other sources and adjust the changed variables when needed.
  • Receive appointment details from the nursing department and call patients to give appointments.
  • Fix wrong data and update records and files of existing patients and make any correction needed, while participating in the search for missing data.
  • Admitting patients physically to the clinic, ensuring basic sanitation i.e. handwashing, questions on covid19 symptoms, providing a mask…etc.
  • Update appointment while keeping meetings, holidays, and events up to date.
  • Manage office stationery supply and ask the supervisor on time to avoid stock ruptures
  • Provide interpretation/ translation only when requested and on an exceptional basis.
  • Provide monthly/weekly report on tasks performed, errors found, corrective action taken
  • Update contacts and numbers on the Helpline mobile phone.

 

 

Requirements:

Candidate Status

Copy of ID, Lebanese residency, or Work Permit

 

Education:

 

Essential: Literacy.

Desirable: Secondary education and / or relevant education.

Experience:

 

Desirable: Working experience of 1 year in similar jobs. (Call center, data collection, questionnaire, Registrar, Secretary…)

Languages:

Essential: Good in English (write, read, speak), Good in Arabic (speak)

Essential: Amharic or Bengali or Filipino or Sinhala any other migrant workers’ language.

Knowledge

Essential: Good knowledge of Excel and Microsoft office (Word, OneDrive, Outlook…), and general computer skills

Desirable: Data entry system, Kobo, forms or any other similar system(s).
