Administrative and Program Officer
The Admin and Program Officer is responsible for the organization's purchases and suppliers’ relationship as well as maintaining, archiving and organizing the administration department, this includes liaising between teachers and students, scheduling workshops, creating evaluations for teachers and students and overall follow up with the school program.
Key Activities:
Manages School application process
Coordinates program and curriculum of school
Handles all letters needed (borrowing policies, student and alumni letters, etc)
Manages fabric donations and shipments
Oversees student attendance records/ delivers warnings to students
meets with student representative on a monthly basis for feedback and evaluations
Management of evening workshop programs/ contact instructors, creating schedules, managing logistics.
Petty cash Management and payments
Supplier payments
Student Transportation
Actively research for suppliers.
Follow up on orders
Negotiate delivery, terms and conditions with suppliers
Organize all receipts, purchase orders, company documents into a filing system and digitize.
Manage csb database online.
Writing and maintaining meetings minutes when needed
Inducts new staff into the organization
Communicates with lawyer and auditors to register new employees into NSSF and create contracts
Create Job descriptions and person specifications for all staff with the Director
Track and update staff leave according to HR policies
Track and update time table sheets including staff and instructors
Answers emails and phone calls
Updating and preparing annual report alongside copywriter
Ability to multitask and organize
