Role Summary

The Tomorrow’s Leaders Scholarship Program (TL) is an initiative between the U.S. Department of State’s U.S.-Middle East Partnership Initiative (MEPI) and the Lebanese American University (LAU) for capable and highly motivated young scholars in the Middle East and North Africa who are from underserved backgrounds.

The TL Program Coordinator organizes the main TL deliverables as per projects' scope of work, specifically logistical and administrative tasks, and keeps record of all the tasks performed on a monthly basis for the various TL cohorts.  He/she also coordinates with the entire TL staff to ensure that tasks are delivered on time and are well implemented. Additionally, he/she follows up with different LAU offices when needed for matters that relate to budget, registration, admission, graduation, and bids.

The TL Program Coordinator also coordinates logistics for activities, workshops and seminars offered for the needs of the relevant TL award and completes all necessary forms to document the project progress, while ensuring compliance with grant requirements.

 

Main Duties & Responsibilities

  • Provides support in implementing the projects' Scope of Work (SOW), quarterly reports, and

coordinates with Monitoring & Evaluation Expert to compile required information from standard sources as per project SOW

  • Supports Academic Director with academic planning: keeps record of students' academic plans and follows up with Academic Director every semester to update the plans accordingly
  • Coordinates with Academic Director on academic requests: change of major, declare minor, course withdrawal requests, course repeats, problematic academic cases, etc.
  • Coordinates the administration of the Strong Inventory Test, with the Dean of Student’s career office, to students, and compiles all results for the use of the Academic Director when assessing major fits and major declarations
  • Ensures accurate and clear communication with TL students on program related requirements, deliverables and expectations
  • Works closely with the Program Manager to ensure proper implementation of logistical tasks of projects, such as the US Semester abroad process that includes visa and residencies procedures, ticketing, housing, registration and transfer of credits; prepares the pre-departure orientation for the US semester
  • Supports Program Manager with budgetary requests needed for project implementation: monthly stipend requests, ticketing requests, activity requests, and equipment requests (laptop/other), events' budgets, etc.
  • Assists Program Manager in coordinating with dorm supervisors on dorms reservation and any problematic logistical issues
  • Supports the Academic Director and Capstone Coordinator with the capstone process
  • Maintains and updates the alumni data in coordination with the Program Manager
  • Supports the Academic Director and Executive Director with planning the graduation ceremony, conferences, and other events
  • Assists the Gender Expert in:
    • logistical tasks as needed
    • resolving routine inquiries and minor issues, and refers more complex ones to Gender Expert
    • attending organized activities, workshops / trainings / events for documentation
    • collecting and maintaining data relating to Gender Evaluation
    • supporting Gender Expert in providing mentorship of students regarding gender and assisting in enhancing the recruitment of qualified students to TL programs
  • Performs other duties pertinent to this job as assigned

Minimum Required Qualifications

  • Bachelor’s degree
  • Minimum 3 years of work experience (preferably in an educational setting, grant-related work, or gender-related work)
  • Excellent written and oral communication skills in English and Arabic
  • Strong MS Office skills
  • Resourcefulness, resilience, and openness to diverse views
  • Passionate about working with international students
  • Must possess the nature and qualities to work with youths
  • Excellent organizational skills with demonstrated ability to handle several tasks at once
