Purpose of position

The Grants and Administrative Officer is the member of the Grants Team and provides support to the Senior Grants Manager. The Officer is responsible for record keeping and administrative details of the Grants Program process. This includes dealing with requests for Grant application guidelines, conducting due diligence of the grantees, tracking Grant applications through the assessment process and handling correspondence and telephone calls with Grant applicants.

Responsibilities

Primary responsibilities

  • To support the Senior Grants Manager in developing and implementing the grants program.
  • Support the production of all documents and tools needed for the grants program. Ensure all required documents are received from the SME grantees.
  • Support in drafting and issuing Grant Agreements.
  • Support development of the monitoring and evaluation procedures of the Program. Coordinate with the MEL Manager.
  • Support the Senior Grants Manager with compliance issues including conducting due diligence of grantees and technical services providers (BDS, STTAs, etc..).
  • Perform data entry to the grants management system. To keep records, maintain and update the grantee databases through the grant management system.
  • Assess funding applications, manage a caseload of grants and carry out related administrative duties.
  • Support management of external reporting to ensure timely delivery of high-quality reports with the Grants Team.
  • Support Grant application process and obtain information from the financial institutional partners about the applicants, as needed.
  • Maintain a comprehensive information management and filing system that ensures all Client contractual documents, reports, key correspondences, etc. are appropriately filed in up-to-date and consistent soft and hard libraries available as needed. All hard copies must be kept in a locked cabinet. Ensure privacy of all grantee information.
  • Maintain a broad and deep understanding of relevant Client policies, regulations and procedures.
  • Support the timely and accurate payments being made to Grantees throughout the life of the Grants Program.
  • Maintain and update the asset register for items purchased by the Grantees.

Qualifications

  • University degree in Business Administration, Economics, Finance or similar fields
  • At least 3 years experience working on Grants Programs or in a similar role. Preferably experience with UKAid-funded project.
  • Experience of working with a range of stakeholders including civil society, private sector organisations or government agencies.
  • Fluency in Arabic and Excellent written and spoken English.
  • Excellent report writing and numerical skills.
  • Task and detailed oriented. Attention to detail.
  • Excellent IT skills, MS Office programs, preferably with a grants management system.
  • Strong organisational skills.
  • A positive, flexible attitude to work including the ability to multi-task.
  • Ability to work as part of a team.
