JOB SUMMARY:
The Logistics Assistant (LA) will report directly to the Logistics Officer.
The incumbent will provide comprehensive support in managing the organization’s fleet, overseeing office and warehouse maintenance, and handling government liaison tasks with ministries, legal, and financial institutions.

PRIMARY RESPONSIBILITIES:
Job Responsibility #1: Government Laison and Courier Duties (30% of time)
- Handle courier tasks, including delivering and submitting documents to MOL, MOF, NSSF, lawyers, auditors and banks.
- Ensure timely and accurate submission of all required documents.
- Maintain records of all courier activities and document submissions.

Job Responsibility #1:Fleet and Vehicle Management (20% of time):
- Coordinates and maintain vehicles, ensuring regular servicing and informing the line manager at least two days in advance in-case a vehicle may be temporarily unavailable.
- Follows RTP and donor regulations on vehicle use, regularly updating the vehicle logbook and monitoring fuel levels to ensure sufficient fuel at all times.
- Conducts timely maintenance for vehicles and generators as per specified mileage and running time.
- Keeps accurate records of fuel usage and other operational costs, providing clear and transparent reports on fuel consumption on a biweekly basis.
- Ensures each vehicle has necessary tools (e.g., spare tire, first aid, emergency kits) and is kept clean and ready for use.
- Monitors and coordinates the procurement of vehicle parts and equipment, ensuring regular inspection and timely repair of vehicles and generators.
- Prepares quarterly and annual reports on vehicle performance, including mileage, fuel consumption, and maintenance costs.
- Tracks the expiration of driving licenses for staff members who use the organization vehicles. Ensures that they are renewed promptly and manages the issuance of the necessary agency letters for driving when required.
- Conducts test drives for all new drivers joining the organization to assess their driving skills and ensures compliance with internal driving standards.

Job Responsibility #3: Warehouse & Asset Management (20% of Time):
- Organizes and maintains the warehouse, ensuring proper storage, inventory tracking, and clear records of items distributed to staff.
- Maintains detailed, well-documented files on operations, including ledgers, requisition and release orders, stock/bin cards, and inventory reports.
- Generates timely and accurate stock and inventory reports, including equipment tracking for management and donor reporting purposes.
- Ensures that RTP assets are registered in the asset register, all assets are physically tagged and identified, and that asset disposal complies with organizational and donor policies.

Job Responsibility #4: Administrative tasks (15% of time)
- Provide general administrative support as needed.
- Track and follow up on the expiry dates of key vehicle-related documents such as insurance, registration, and inspection certificates. Ensure timely renewals and maintain records for compliance.
- Assist in the preparation of reports and documentation.
- Support other departments with logistical and administrative tasks as required.

Job Responsibility #5: Office maintenance (10% of Time):
- Oversees maintenance of office facilities, coordinating with service providers for repairs and utilities to ensure functional and well-maintained premises
- Space management and decluttering when needed.
- Tracks and follows up on leases for all RTP offices to ensure timely renewals and compliance

Capacity building/technical support and organizational development
EDUCATION/TRAINING/CERTIFICATION
- Bachelor’s degree in business administration or related field
- Valid driver’s license required; public driving license is a plus.
EXPERIENCE:
- Minimum of 2 years of experience in logistics, fleet management, or administrative support, preferably within an INGO setup or similar context.
COMPETENCIES / PERSONAL ATTRIBUTES
- Reliable and self-motivated, with a proactive approach to work responsibilities.
- Strong organizational and multitasking abilities, with a keen eye for detail.
- Excellent problem-solving skills, able to handle logistical challenges effectively.

- Good interpersonal and communication skills, demonstrating professionalism in all interactions.
TECHNICAL SKILLS:
- Proficiency in Microsoft Office, especially Excel, for inventory and report management.
- Knowledge of vehicle and fleet management, including basic vehicle maintenance procedures.
- Familiarity with warehousing procedures, stock management, and logistics practices.
- Understanding of compliance requirements with government bodies (e.g., MOL, MOF, NSSF).
LANGUAGES:
- Fluency in written and spoken local language and ability to understand, read and write English
DESIRED QUALIFICATIONS (An Asset):
- Experience in an INGO or non-profit organization, with knowledge of logistics practices within a humanitarian or development setting.
- Basic knowledge of procurement processes and vendor coordination
- Certified training in logistics, fleet management, or warehousing is an advantage.
