The Project Manager will be responsible for leading and coordinating projects from inception to completion, ensuring that deadlines are met and goals are achieved. The role requires a strong focus on problem-solving, excellent communication skills, and a proven track record of successful project execution.

Under the supervision of the Programs Coordinator and the Country Director, the Project manager is responsible for the following tasks:

Staff and Program Management:

  • In collaboration with the team develop and follow up on the implementation of activities in accordance to the quarterly plans and ensuring quality results and successful realization of the activities objective and indicators.
  • Prepare and organize the center’s activities on weekly schedule and share the plan with the team.
  • In collaboration with the Programs Coordinator, facilitate or organize trainings that support the skills of the staff.
  • Monitor staff performance through shadowing and coaching, addressing areas for improvement as needed.
  • Write and share meeting minutes after each meeting.
  • Hold regular planning and debriefing sessions /meetings with team members on a weekly basis and ensure meeting minutes are shared afterward.
  • Conduct regular one to one meeting and team meetings to share success stories, challenges or recommendations.
  • Conduct orientation for new team members joining the organization.
  • Provide the administration and trainers with the participant registration lists (waiting list) at the beginning of each new quarter, to assist in selecting participants for each course, and ensure with the team to communicate with each participant and create a WhatsApp group for each cycle.
  • Coordinate activity schedules and adjust plans as needed, especially in response to general or specific emergency situations.
  • Follow up on non-sensitive complaints in coordination with the Meal and HR, and the country director for sensitive complaints.
  • Provide an explanation to the participants about the complaint box and the suggestion policy in place at Women Now center.
  • Ensure the team obtains consent forms from participants before taking any photos.

Administrative:

  • Be the focal point with the participants accessing the center to give them proper overview about the organization and link them to the needed service.
  • Register the information of the women and girls that are interested to attend activities within the center.
  • Record all necessary information about women who borrow books or novels from the library.
  • Respond to participant inquiries via the center's phone, messages, phone calls, and WhatsApp.
  • Organize and follow up on all administrative matters related to the center and its staff.
  • Archive all documents related to employees (Timesheets, leave requests, etc..), and participants (copy of attendance sheets, registrations …).
  • Collect the names of previous course participants from the accountant and make sure they are accessing the center to receive the transportation allowances and certificates.
  • Follow up with the team members that all the needed papers for the sessions are properly filled and submitted on time.

Human Resources:

  • In Coordination with HR and protection department work to organize and plan for staff care sessions.
  • Oversee and monitor, and document the working hours, annual and sick leaves of the employees in coordination with the HR.
  • In coordination with HR and Programs Coordinator work on the recruitment process for any vacant position within the project.
  • Conduct performance reviews for each staff member in coordination with HR.

Finance and Procurement:

  • In coordinate with the finance, logistics and procurement team follow up on budget transactions, procurement processes and inventories and raise PRs accordingly.
  • Prepare, follow up and validate the service providers` invoices, before sending them to the finance and Human Resource department.
  • Follow up & sign monthly timesheet for service providers.
  • Monitor the expenditures by preparing a monthly forecast, and share it with the finance and programs departments.
  • Review the monthly financial reports to ensure that spending is aligned with the plan.

Reporting:

  • Collect data and report in accordance to the shared templates and upon requirements of each project.
  • Keep track of all monitoring and evaluation schedules and implementation of monitoring and evaluation procedures.
  • Take the lead for the registration phase for activities and finalizing the list of participants.
  • Tracking participants' attendance and monitoring the dropout’s cases.
  • Monitor and track the attendance of women, adolescents, and children in the courses.
  • Conduct statistical tracking of the number of women registered in courses, categorized by each activity.
  • Prepare and share a brief with the Programs Coordinator and HR Coordinator whenever the Project Manager, or any of the team members attend any internal or external training/event.
  • Make sure than all the online templates are properly filled by the Project manager and the team.

  • Promote a safe and inclusive environment that respects the rights and dignity of all individuals, particularly vulnerable populations.
  • Respond promptly and appropriately to safeguarding concerns or incidents, following established protocols and procedures.

Job Requirements:

  • Clear understanding of gender inequality and issues surrounding gender-based violence.
  • Demonstrated ability to lead, train, supervise and motivate staff in their respective tasks in a professional, respectful, and supportive manner.
  • Demonstrated ability to monitor and follow up on the targets and projects budgets.
  • Minimum 5 years’ experience working in humanitarian sector targeting vulnerable women and girls.
  • Familiarity with principles of monitoring and evaluation. Experience in writing brief narrative reports.
  • Computer literacy, including Microsoft Word and Excel.
  • Fluency in Arabic.
  • Ability to communicate in English and write clear and concise reports in English.
  • Degree/diploma in Women’s Studies, Social Work, or a related field.
  • Positive and professional attitude, able to organize, maintain composure, and prioritize work under pressure, with strong problem-solving skills to address challenges effectively. Capable of coordinating multiple tasks while maintaining attention to detail.
