Qualifications:
• 5+ years of project coordination experience, with a history of successfully leading multiple projects
• Experience driving cross-functional teams across diverse components and organizational functions
• A Master’s degree is preferred in fields such as social sciences or business administration
• Proven excellence in all aspects of project management, including identifying and mitigating risks
• Demonstrated skill in agile methodologies, iterating through development cycles to optimize outcomes
• Experience with research, policy papers, and policy analysis
• A background in technology is a plus
• A clear passion for making government services more accessible, efficient, and impactful for everyone
• Commitment to the values of accountability, transparency, and social impact
Key Responsibilities:
Reporting directly to the Executive Director, the Programs Coordinator will have comprehensive planning and execution responsibilities across strategic projects and initiatives, including our field-based and regional programs.
• Project Leadership & Process Management:
o Lead and refine project management processes, ensuring alignment with SmartGov’s mission, vision, and donor commitments.
o Support the design and implementation of projects, applying agile management techniques to achieve defined milestones and outcomes.
• Program Execution & Workflow Optimization:
o Develop and oversee project schedules, assigning roles and ensuring clear communication within cross-functional teams.
o Coordinate with external service providers, consultants, and volunteers to optimize resource utilization and project impact.
o Manage contracts for external consultants and partners, ensuring adherence to terms and timely completion.
• Operational Efficiency & Best Practices:
o Maintain organizational workflows, document management, and compliance with internal policies.
o Oversee cash flow and internal financial administration to support smooth operations.
o Develop best practices that enhance operational efficiency and effectiveness across the organization.
• Monitoring, Evaluation, and Reporting:
o Conduct regular project monitoring and evaluations, capturing progress, lessons learned, challenges, and best practices.
o Prepare comprehensive monthly and quarterly reports to highlight project progress and flag potential risks.
• Stakeholder & Community Engagement:
o Collaborate closely with media, community partners, and participants to foster strong engagement and visibility.
o Actively participate in assessments, evaluations, and visits to support program development.
• Funding & Proposal Development:
o Assist in identifying funding opportunities and support proposal design in coordination with the leadership team.
o Provide targeted administrative support to the Executive Leadership Team.
• Research & Social Media Presence:
o Collaborate with the research team, providing feedback on scopes and ensuring alignment with organizational goals and community needs.
o Contribute to identifying research gaps and conducting literature reviews, as well as writing blog posts every three weeks.
o Work alongside SmartGov’s team to support the communications team in amplifying SmartGov’s presence on social media platforms.
