General Duties

  • Day to day office operations
  • Process the payment to suppliers and keep strict on all documentation involved, informing the financial officer of any sort of disparity
  • Help in preparing general ledgers, Budget vs Actual reports and report to the finance officer
  • Carrying logistic and administrative duties such as filing, typing, copying, binding, scanning
    Replying to emails, telephone or face to face enquiries, and documenting all information to create a new record sheet and template
  • Following up on administrative issues
  • Coordinating office logistics
  • Handle petty cash, prepare checks and bank transactions.
  • Manage finance department filing and documentation.
  • Prepare proper coding on all vouchers for valid account/cost centre /donor combinations.
  • Check invoices, bids analysis and calculations.
  • Follow-up on missing signatures, stamps and documents.
  • Prepare payment and documentation of salaries for staff.
  • Write checks and have them signed and ready in due time.
  • Ability and willingness to dramatically change work practices and hours, and work with incoming surge teams, in the event of crisis or emergency.
  • Contribute in preparation of all periodic financial statements and reports as per instructions.
  • Conducting regular cash reconciliations, verifying amounts held and reporting any discrepancies
  • Conducting regular visits to the bank for internal bank transfers; and external transfers to partners, suppliers
  • Ensuring all financial transactions are carried out in accordance with the guidelines and procedures and any donor requirements
  • Preparing for and supporting internal and external financial audits
  • Conducting final checks before scanning to make sure that the files are complete, and all supporting documents are available.
  • Scanning and stamping according to donor and SHEILD requirements all payments documents
  • Performing any other financial and support program tasks as requested by the Senior manager

 

Qualifications

  • Bachelors Degree in Finance, Accounting or any other related field
  • Two to three years experience in this field of work
  • Computer skills is a MUST  (***Excel is a MUST***)
  • English language is a MUST
