Main objective:

 

The cashier/archivist supports Médecins Du Monde Lebanon mission in term of payments and is responsible for archiving all support department (Finance, Human Resources, Logistics) documents.

 

Category 2 level A

 

Médecins du Monde France hereby linked the Occupation to the new Occupational Grid, to the professional family of Finance and Human Resources and Occupation of Book Keeper/Cashier on Category 2.

Main responsibilities:

  • Prepare and Follow up on payments
  • Archive all support department documents

 

The main responsibilities and activities of the Cashier/Archivist can change depending on the evolution of the context, the work organization and the team composition.

Main activities:

Cash flow management

  • Supervise the physical maintenance and safety of cash boxes.
  • Responsible for the management of cashboxes (LBP and USD). Make sure enough money is available in cashbox to cover the activities.
  • Perform daily, weekly and monthly cash counts with the Finance team.
  • Ensure timely payment process of expenditures related to the operation of MDM programs.
  • Prepare payment in advance and have them signed by the person having the signatory.
  • Visit fields to perform cash payments to volunteers and beneficiaries (in case of need).
  • Issue receipts and check payments.
  • Keep the accountancy through the MDM accountancy’s system by ensuring financial data is up-to-date and cash/bank books and balances are up to date and accurate at all times (reconciliation).
  • Provide translation of financial documents when required.

 

Archive physical documents

  • Participate in the “Voucherisation” of the accounts: printing, sorting, archiving.
  • Ensure the completeness of the files as per MDM requirements.
  • Collect the documents to be archived from the various departments.
  • Use the packaging elements wisely (binders, dividers, archive boxes, etc.) and all materials necessary for the successful completion of the assigned missions, and ensure their availability.
  • Label the archives in accordance with the rules, procedures and requests of the issuing and / or recipient departments.
  • Classify and store the archives.

 

Archive digital documents

  • Scan all Finance, Human Resources and Logistics documents.
  • Ensure the good quality of the scanned documents.
  • Name and Store the scanned documents in accordance with the rules, procedures and requests of the issuing and / or recipient departments.
  • Upload the scanned documents on MDM’s platforms (ex: Sharepoint, Cloud, etc.)
  • Check the proper functioning of the tools required for digitalization (printer, scanner, external storage, etc.), and monitor any requests for maintenance work.

 

Ensure the sustainability and preservation of physical documents

  • Check the storage conditions and follow-up of any requests for maintenance work in these premises.
  • Change old archive boxes, binders and dividers (in case of need).

 

Implement the contingency plan

  • Label filing cabinets, archive boxes and shelves in accordance with the contingency plan.

 

Implement the policy of eliminating obsolete documents

  • Destroy documents in accordance with the destruction plan defined by MDM.

Requested Profile

 

  • University degree (BA) in Finance, Economics, Business Administration or other relevant field
  • Proficiency with Microsoft word, excel and Nitro
  • Knowledge of SharePoint
  • Proficient knowledge English and Arabic (both verbal and written)
  • Excellent attention to details – mandatory
  • Ability to organize and prioritize workload, using initiative when appropriate
  • Flexibility, adaptability, and patience
