The Levantine Institute of Tripoli (LEVIT) is a social entreprise offering Levantine Dialect and Modern Standard Arabic programs classes in Tripoli / Beirut and online with our platform www.levantineonline.com

LEVIT also organizes the events on the monthly basis that are open to the public as well. So in addition to the foreign students taking the Arabic courses in LEVIT, also broader public of Beirut / Tripoli participates in the presentations in order to get familiar with different aspects of Lebanese society including economic, political, cultural and other topics.

The Deputy-Director’s role is responsible of managing and monitoring the institute’s functions and daily operations with due regard to quality and optimum use of staff, all to be propelled by a continuous drive, that will assure a truly first-class learning experience. He/she manages the following processes: administration/registrar, academic/advising, accounting & finance, communication, operations, cultural program and data processing within the institute’s branch.

 

Reports to Director

 

Operations

Monitoring the daily operations, making sure that the ongoing classes are strictly following the pre-planned schedule.

Making sure that classes needs are met (teaching materials, heating/cooling systems are functioning)

Monitoring the implementation of the top management’s strategy

Supervise general maintenance of the institute’s facilities and liaises with director for any purchase or technician needed.

Makes sure that all staff are respecting their engagement and are on time at the office.

 

Admin & Registrar

Makes sure the general email box is up to date and emails are answered within maximum 24 hours on working days.

Monitoring the institute’s received inquiries and updating the database accordingly.

Follow up pending inquiries and make sure to properly answer the student’s requests.

Updating the status of each student that we are communicating with (Registered, followed up, scheduled…)

Sends data report for registrations and inquiries once a month.

 

Academic/Advising

Liaise with Coordinator and teachers for any schedule change and communication with students.

Sends placement test in collaboration with Coordinator.

Classifies registration forms and placement test in the appropriated files.

Preparing the term’s schedule in coordination with the Education Coordinator and the Director.

 

Accounting & Finance

Liaise with accountant for payments, invoices, and receipt.

Liaises with Director and accountant for follow-up on payments and deposits.

Protects data and avoid dissemination.

Prepare the daily cash balance report and send it to the accountant.

Clients’ relationship, activities and communication

Build trust relationships with students.

Provide briefing and context, travel advises for new students.

Prepares the monthly events calendar.

Organizes monthly events (movie screenings, concerts and other cultural activities).

Participates in external cultural activities (exhibitions, events) to promote the institute’s activities within Beirut’s cultural communities.

 

Reporting and meetings

Organize management meeting once a month with staff and teachers (can be online).

Education meetings with teachers and coordinator takes place at the beginning and on the end of the term.

 

Outreach to potential partners / students

Contact organization / embassies / NGOs and negociate service contracts

Grow our network internationally with universities and INGOs. 

 

HR

Prepares and assists Director for recruitment of new teachers.

Evaluates performance of staff in collaboration with Director and coordinator.

Handles all conflict resolution management as well as team building operations.

 

Represent Institute

 

Represents the Institute and act as Director during her/his absence.

 

Experience and qualifications

- Experience as manager strongly desired. 

- Experience in sales

- Expererience in managing database, CRM and marketing tools 

- Prior experience in the field of Education highly appreciated. 

- BA or Master in Education / Business or related fields.

- Cultural awareness / prior experience in organisating cultural events. 

 

Essential Skills and Knowledge

- Excellent organizational skills with the ability to coordinate, plan and prioritise activities.

- Excellent literacy, numeracy and IT skills (e.g. Word/Excel).

- Proactive, innovative, and flexible with a problem-solving approach where systems can be improved.

- Determined and committed to the highest quality standards.

- Ability to integrate into an international team and establish effective working relationships with colleagues.

- Ability to meet deadlines and work calmly under pressure.
