Role Summary

The Carnegie Assistant Project Coordinator is primarily responsible for supporting the grant in its daily administrative functions. This includes record keeping and preparing initial contracts/service agreements, if any, for clearance. He/She will also be responsible for organizing and coordinating the logistics of the events that take place under the project (i.e. liaising with the Hospitality Department to book the flights, hotel accommodation, transportation arrangements and meals).

Additionally, the Carnegie Assistant Project Coordinator will report back to the Principal Investigator (PI), and will be in close contact and coordination with the co-PI and the Executive Director of the New York Headquarters and Academic Center, the Finance Office, and the Office of Grants and Contracts.

Finally, he/she will also be involved in developing the research strategy with the research team based on the workshops held.

Main Duties & Responsibilities

  • Assists in the execution, follow up and monitoring of activities, as per the guidelines defined, ensuring all administrative and logistics requirements are met
  • Maintains, updates, and track progress against the timeline and reports major deviations to the PI in order to ensure that all components are progressing as planned
  • Monitors activities and development of reports including updates on the progress and status of the project, ensuring that issues are escalated and managed as required
  • Develops and maintains an efficient filing system for the team, including assistance in processing calls for proposals as required
  • Supports in creating procedures and forms
  • Follows up with speakers, community members, beneficiaries and partners
  • Coordinates work activities, meet deadlines, and provides support where needed
  • Performs other related duties in accordance with instructions from team members
  • Supports in the pre, during and post-event’s process
  • Liaises with the university’s Hospitality Department to coordinate the logistics of the events (booking the flights, hotel accommodation, arranging transportation and meals…)
  • Coordinates with the Finance Office and the Office of Grants and Contracts, as required, to ensure smooth functioning of activities and compliance
  • Supports and contributes to developing the research strategy with the research team based on workshops held
  • Performs any relevant additional task assigned by the Institute Director

Minimum Required Qualifications

  • Bachelor’s degree, preferably in Political Science/International Affairs, Business Administration, economics, or any related field
  • Minimum 1 year of experience in projects coordination, research and development
  • Excellent verbal and written communication skills in Arabic and English
  • Good budgeting skills
  • Computer literacy, including knowledge of Microsoft Office applications, basic software applications, and familiarity with the Internet and email communications
  • Excellent interpersonal skills, keen to work in a team environment
  • Resourceful, initiative taker
  • Able to work effectively in a fast-paced professional environment with multiple tasks and meet deadlines
  • Extremely organized, ensuring an effective time management
  • Capacity to work under deadlines
  • Knowledge of the LAU environment is a plus
