Job Description:

Konrad-Adenauer-Stiftung Lebanon office is looking for a Project Assistant. We are a young and dynamic team with a great team-spirit, looking for someone, who is motivated to join us.

Reports to: Resident Representative 

Coordinates with: Project Manager, Research Associate, Accountant and Financial Administrator, Team Assistant

The Program Assistant performs the following tasks:

A. Responsibilities

  • Supporting KAS responsible staff in managing the projects (BMs and IBs) in accordance with the order and project goals and activities agreed with the partner and/or agreements with the superior
  • Supporting project managers and KAS staff in all logistic issues related to implementing KAS projects and networking with partners and important stakeholders

B. Tasks

1. Assistance to Project Managers

  • Organizing and participating in official events, meetings, workshops, seminars and other events on issues related to the project/program’s area of activity
  • Contributing to the regular planning updates
  • Communicating with KAS headquarters and other regional KAS offices
  • Compiling the relevant information for activities and assignments

2. Event management and office work

  • Supporting the project managers in event management, especially procuring services, materials and equipment on request
  • Accompanying other KAS staff to events and supporting them at the venue as needed
  • Preparing checking lists for workshops and events on request
  • Supporting in booking flights, tickets and hotel reservations as well as transport
  • Supports in follow up of logistic preparations for measures
  • Supports in planning and scheduling meetings and appointments
  • Supports in updating lists on request
  • Supports in filing on KAS internal system
  • Supports in scanning documents
  • Supports in follow up on inventory (numbering, sorting out etc.)
  • Ensuring flow of daily routine office work; and instructs and supervises the Team Assistant, cleaning force and interns in the daily routine office work
  • Ensuring that visitors are comfortable by offering refreshments etc.
  • Performs other duties and tasks at the request of management
  • Update the official - data base of KAS.

 3. Phone and reception services

  • Answers and accepts independently phone calls and messages and/or forwards them.
  • Checks the e-mail of the office on daily basis and reports adequately
  • Registers, documents and organises incoming and outgoing correspondence (emails, Packages and personally delivered messages)

4. Other duties/additional tasks

  • Be willing and able to work after official working hours and on the week-end/holidays when necessary; as long as the necessary free time according to law regulations is granted.
  • Work extra/overtime hours as needed according to workload and meetings. Overtime hours will be compensated by free time.
  • Performs other duties and tasks at the request of the Superior

C. Required qualifications, competences and experience


  • Bachelor degree in Business administration or equivalent
  • Working experience in administration and/or program management.
  • Good organizational skills.
  • Excellent knowledge of written and spoken Arabic and English or German.
  • Good computer skills (incl. Power point, Word and Excel in a Microsoft Windows environment).
  • Ability to work in an intercultural environment.
  • Demonstrate dependability and self-motivation.
  • Maintain high level of personal integrity and reliability.

Professional experience

  • 4 years’ professional experience in the field of program assistant or in a comparable position
