Job context

For our office in Beirut Hivos is seeking a suitable candidate to fill the vacancy of Office Admin and Project Assistant. The position is for 20 hours per week with the possibility to be increased with more hours per week pending approval of funding for new projects.

Your responsibilities

As a Project Assistant, you are assisting project officers, project managers and financial officer with operational, logistical, organisational and administrative work, including:

Administrative and financial tasks:

Assisting project officers with administration of project contracts and checking correctness and completeness of contracts

Monitoring and administration of receipt of projects reporting

Preparation of administration for payments to project partners and consultants

Preparing, organizing and servicing meetings (logistics, agenda, minute taking)

Ensuring that Hivos corporate identity is maintained in mailings and publications

Archiving of project documents (electronically and hard copies)

Answering calls, taking messages and handling email correspondence

Logging and processing invoices and expenses

Logistical and operational tasks:

Organising and booking visa, venues, transport, accommodation and other logistical requirements for workshops, trainings and duty trips for Hivos staff and Hivos organised interventions

Hospitality and organisation related work for participants of Hivos organised workshops and meetings.

Organisation of the office in Beirut, including timely payments of office operational costs (for a.o. communications and facilities)

You are answerable to the Programme Director Middle East and North Africa.

Your profile

We are looking for a Project Assistant with at least 2 years of experiences of working in complex environments, preferably in an international environment. You have excellent command in MS Office. You are an accurate and customer orientated team player who is cooperative and able to communicate in both English and Arabic. You have strong organizational skills. You show initiative by improving work processes and engage in quality improvement projects and activities.

Employment is offered as soon as possible for the period of one year with a probation period of 1 month. Extension is possible, depending on performance and availability of funding. Your salary will depend on experience and relevant education and based on Hivos Lebanese scale 8.
