Essential

BA degree in Finance or related field.
· At least 2 years of finance and office management experience.
· Good computer skills in MS Word, Excel (or other spreadsheets) and word processing.
· Good communications skills including ability to explain complex issues verbally or in writing. Ability to write reports and business letters.
· Good oral and written communication skills with the ability to present financial matters to non-financial managers.
· Experience in managing budgets relating to office expenditure.
· Experience in team work, preferably in an international team.

We are the secretariat of the HelpAge global network, bringing together more than 114 affiliates and 200 partners working with older people in over 50 countries.

 

HelpAge in Lebanon

 

Since January 2013, HelpAge has been working in partnership in Lebanon initially with Handicap International on an Inclusion Programme that works with humanitarian responders to ensure humanitarian assistance reaches older people and people with disabilities – two vulnerable groups that are often neglected in humanitarian response.

 

HelpAge then expanded its programme in order to ensure that appropriate and relevant health care services are available for older refugees in Lebanon, in particular treatment for chronic, non-communicable diseases that affect so many older people. The programme is implemented in partnership with Lebanese local NGOs.

 

 

Job content and Relations:

 

This post will be based in the HelpAge International project office in Beirut, Lebanon, with key relationships extending across the Lebanon based projects and with all partner organizations offices.

 

Key Tasks:

  • Manage and update the office monthly accountancy and follow-up with partners on submission of their monthly reports.  Respond to queries from regional office related to monthly accountancy and communicate with partners on any queries for their monthly financial reports.
  • Ensure compliance with HelpAge procurement policy for each implementing partner
  • Develop details Budget sheet and detailed budget for each implementing partner related to their activities.
  • Conduct finance induction for each partner’s finance staff in the centers.
  • Work closely with the project coordinator at HA to ensure that budget meets activities
  • Manage and update office monthly accountancy and follow up with partners on submission of their monthly reports.
  • Prepare financial reports and cash  requests  for  all  HAI-led activities
  • Prepare financial reports and combined cash requests and forecast
  • Ensures the correct filing of all the finance, administrative documents and of employees files,  and ensures the confidentiality of all the documents related to personal files. Keep records of annual leave and public holidays for local staff.
  • Provide administrative and logistical support for meetings, workshops, training and staff visits.
  • Ensure the operation and· maintenance of all office equipment liaising with contractors and service providers to ensure efficient and cost-effective serving and repairs of all equipment in the office.
  • Conduct regular audit visits to partners in order to ensure proper financial records and documentation depending on donor requirements.
  • Help in hotel and flight bookings and visa requirements for staff travel to and from Lebanon in coordination with Regional Admin. Assistant.
  • Communicate with Lebanon team and RO office regarding office availability and closures.
  • Any other task assigned by the direct supervisor.
  • Conduct a monthly coordination meeting project partners to discuss project budget and activities and to ensure proper collaboration amongst them.
