Organizational Setting

 

The Food and Agriculture Organisation of the United Nations (FAO) is currently implementing a project funded by the European Union and entitled “Enhancing resilient livelihoods and food security of host communities and Syrian refugees in Jordan and Lebanon through the promotion of sustainable agricultural development” in close collaboration with the Green Plan. The project responds to the reduced livelihood and food security levels resulted from the Syrian crisis. It tackles its negative impact on the host communities, through the support to the agriculture infrastructure development in small mountainous exploitations and to dairy small-scale farmers, and improving the agricultural productivity and the farmers’ income, in addition to the creation of employment opportunities for both host communities and Syrian displaced. 

The project is field intensive with frequent travels all over Lebanon and deals with a considerable amount of data for a large number of beneficiaries, in hard copy and digital formats.

 

Reporting Lines

 

The candidate will perform his/her duties under the overall supervision of the FAO Representative in Lebanon, the direct supervision of the Project Manager, in close collaboration with the FAO project staff and the Representation Office staff.

 

Technical Focus

 

-    Driving the project staff and ensuring the safety, technical soundness and comfort of the vehicle(s) assigned;
-    Performing support to the office in terms of hard copy and digital files management using a dedicated application as well as other office related tasks

 

Tasks and responsibilities

 

-    Drive the project staff and their official visitors on official trips, and drive for the FAO Representative and his/ her visitors on occasions as necessary.
-    Meet staff and official visitors at the airport; facilitate immigration, customs formalities, hotel check-in, and other local formalities.
-    Log official trips, daily mileage, gas consumption, transportation / vehicle related expenditures, vehicle servicing, repairs, etc.
-    Ensure day-to-day maintenance of the assigned vehicle(s); checks oil, water, battery, tires, etc.; perform minor repairs and timely arrange for any other repairs necessary to keep the vehicle safe and technically sound at all times; maintain the vehicle(s) in clean conditions.
-    Handle local and organizational formalities when involved in an accident; ensure that in this case all organizational and local / country rules, regulations and procedures are followed correctly.
-    Collect and deliver mail, documents, pouches, and other communications / items from and to the country office; go to the post office, airport, government agencies, other UN agencies, institutions, project sites, etc., to take and deliver items and communications; keep records as required.
-    Ensure that the steps required by rules and regulations are taken in case of involvement in accident.
-    Provide support to the Project Administrative Assistant in all administrative aspects of the project.
-    Enter project beneficiaries’ data in a dedicated IT application from a variety of hard copy sources. 
-    Assist the Project Administrative Assistant in maintaining local inventory records and proper recording of assets, their maintenance and safeguard.
-    Assist the Project Administrative Assistant in maintaining a filing system of administrative and project beneficiaries’ documents.
-    Assist in the preparation and implementation of project activities and provide all relevant logistical support as may be required.
-    Assist in the organization of meetings, workshops, and field trips as required.
-    Perform other related duties as required.

 

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements    

•    High school diploma / Secondary education, academic or technical.
•    Possession of valid driver’s license.
•    Two years of relevant experience in driving functions with flawless, safe driving record. 
•    Two years of previous experience in office/admin support functions.
•    Good Command of Arabic; Working knowledge of English and/or French.
•    National of Lebanon
