4. Specific Duties and Responsibilities

 

JOB RESPONSIBILITY 1: Partnership Compliance: 65% (65% of time)

  • Follow up with partner on financial reports and supporting documents submission on bimonthly basis.
  • Review thoroughly supporting documents of expenses in submitted and approved financial reports.
  • Follow up and update on monthly basis Partnership tracker.
  • Tracking of copies of supporting documents at CO level of partners.
  • Lead partner compliance presentations (at least one presentation for each partner )
  • Initiate MOU process related to local partners, municipalities or other local authorities .
  • Share monthly report on partner visits related to spot checks and supporting documents.
  • Track partnership agreements final soft copies on shared folder.
  • Ensure project managers are compliant with CARE rules and process regarding partnership payments.
  • Initiate sub-award agreement as per sub-award process at CARE International.
  • Ensuring proper monitoring of the projects implemented by the partners for donor compliance and progress against objectives
  • Support the partners in the development of proposals and budgets; once requested by FGM
  • Participate in partnership opening, review and closure meetings.
  • Maintaining proper and professional communication with CARE partners based on Partnership principles of Equality, Complementarity, Transparency, Results Oriented
  • Review compliance issue at partners office
  • Assist in potential partners due diligence and organizational capacity assessment tool (OCA) for finance and accounting policies and provide bridger checking
  • Work closely with FGM and partners to ensure all partners have proper anti-fraud and corruption policy2

JOB RESPONSIBILITY 2: Finance and Compliance (35%): (35% of time)

  • Hold/lead BFU meetings with partners on bi-monthly basis with clear agenda and action points.
  • Report on monthly basis to FGM progress on accounting and financial reporting capacity building plan of each partner+ update capacity building objective tracker.
  • Fill in IPIA required info as per FGM inputs.
  • Jointly with each PM update on monthly basis partner forecast in BFUs based on submitted partner financial reports
  • Review Compliance of BFUs on a monthly basis (accounting matching BFU, Formula checking, currency.)
  • Review or prepare donor financial reports, monthly invoices, IPIA summary reports.
  • Coordinate with other departments on compliance of timesheets including monthly spot checks and follow up
  • Update monthly IPIA tracker based on FGM inputs

Skills & knowledge:

  • Extensive experience interacting with and relating to gender professionals and international stakeholders at senior level.
  • Team player with strong interpersonal skills, with the ability to build strong internal relationships and networks.
  • Motivated self-starter who enjoys working in a collaborative and international environment

Experience:

At least   0-1  years of relevant experience, especially at NGOs, academic organizations, standard-setting bodies, public agencies.

Academic background:

BS in Finance or Accounting
