Call for Management System Implementation Consultant - Food System Challenge

Context & Background

Berytech is a leading organization in the Entrepreneurial Ecosystem in Lebanon, that aims to provide a conducive environment for the creation and development of startups, through incubation, business support, counseling, funding, networking, and company hosting, hence taking part in the economic revival of the country, participating in wealth and job creation, and retaining graduates and high-level skills in Lebanon.

About FSC PROJECT

The Food System Challenge supports businesses to solve core challenges of the food system in Lebanon, and more specifically in the sectors of dairy and meat production (cow, goat, sheep), cereals and pulses (and its by-products), protected horticulture (Classical green houses, hydroponics, and aquaponics), and domesticated edible herbs and plants.

The Food System Challenge is implemented by the World Food Programme (WFP) and Berytech through support from the German Federal Ministry of Economic Cooperation and Development (BMZ).

Throughout FSC’s previous and current cycles, the program supported over 40 SMEs to fortify the Lebanese food system to create a more sustainable ecosystem.

Beneficiary background

PLANT IT is a growing agricultural enterprise committed to enhancing its operational efficiency and traceability through the integration of advanced tools and systems. As part of its scaling-up project, the company seeks to transition from basic Microsoft Excel-based systems to more advanced management and financial software. This upgrade is crucial for streamlining operations, improving decision-making, and supporting sustainable growth.

Objective

The objective of this consultancy is to assist PLANT IT in implementing advanced management/finance software that meets the company’s specific needs, enhances traceability, and optimizes operational and financial control.

Scope of work

The consultant will be responsible for the following tasks:

  1.  Needs Assessment:
    • Conduct a detailed assessment of PLANT IT’s operational and financial workflows to identify gaps and requirements for software solutions.
    • Provide a recommendation report outlining the best-fit management/financial software options tailored to PLANT IT’s needs.
  2. Software Selection:
    • Assist PLANT IT in selecting the most appropriate software solution, considering scalability, user-friendliness, and compatibility with existing operations.
  3. Implementation and Configuration:
    • Lead the installation and configuration of the selected software.
    • Customize the software to align with PLANT IT’s unique operational needs, including inventory management, cost tracking, production planning, and financial reporting.
  4. Staff Training and Capacity Building:
    • Develop and deliver training sessions for PLANT IT’s staff to ensure they can effectively use the new software.
    • Provide user manuals and ongoing technical support during the initial adoption phase.
  5. Post-Implementation Support:
    • Monitor the system’s functionality during the first month of operation and address any issues or optimization needs.
    • Develop a monitoring and evaluation framework to measure the software’s impact on operational efficiency and financial management.

Duration

The consultancy is expected to span 3 months, with specific on-site days to be agreed upon based on project milestones and progress.

Key Deliverables

  1. Needs assessment and recommendation report.
  2. Fully installed and customized management/finance software.
  3. Training materials and records of conducted training sessions.
  4. Technical support during the implementation phase and initial operation.
  5. Final report summarizing the software’s implementation process and its impact on operations.

Qualifications

The selected consultant should have:

  1. Proven expertise in implementing management and financial software for SMEs, particularly in agriculture or related sectors.
  2. Strong knowledge of inventory management, production planning, and financial reporting systems.
  3. Experience in staff training and capacity building related to software adoption.
  4. Familiarity with Lebanon’s agricultural sector is a plus.
  5. Excellent communication and technical skills.

How to apply

The selected Consultant is expected to start his/her activities soon after selection; the exact timeline and effective working days are to be set based on both the company’s and the Consultant’s availabilities. The total budget allocated for the intervention is between $6,000 and $6,500.

Candidates should submit the following documents.

  • Technical (maximum two pages) describing the methodology to conduct the work based on the content suggested in the section: “Scope of Work, Duration, and Deliverables” elaborating it further.
  • Profile and project references (maximum two pages): A brief explanation of the consultant(s) background should be submitted (CVs should be included as an annex) along with project references on the topic.
  • Financial Proposal describing the expected remuneration and the proposed timeframe of the intervention. Quotations in response to this RFP must be priced on a Level-of-effort (Number of working days) term contract, all-inclusive basis, including delivery and all other costs. Pricing must be presented in USD and offers must remain valid for not less than 30 calendar days after the offer deadline. Offerors are requested to provide quotations on their official quotation format or letterhead.

**The firm/consultant is required to perform a pre-assessment visit/call to the business before submitting the proposal to assess and quote accordingly**

Depending on the situation, the client has the right to take conference calls instead of site visit. The client has the right to stop meeting consultants/consultancy firm at his disclosure.
