Project Coordinator - Arab Network for Democratic Elections "ANDE"

Position Summary:

This position requires a highly organized, motivated, and detail-oriented individual who believes in the mission and objectives of ANDE and shares its core values. The Project Coordinator will handle communications, research, finances, administrative and logistical work. This position also entails fostering working relationships with different partners and organizations working in the areas of democracy and elections.

In this mid-level position, the successful candidate will work closely with the Network’s General Director and the Assistant Coordinator on project planning, implementation, and reporting tasks. More specifically, the Project Coordinator will coordinate and implement all ANDE’s activities, in accordance with ANDE’s work plans agreed upon with ANDE’s Board, ensuring that the project(s) activities are completed on-time and with high-quality results.  

 

Duties, Tasks & Responsibilities include:

  • Design and develop projects that target the goals, objectives, and strategic direction of ANDE
  • Prepare a yearly progress report & action plan to be presented to ANDE’s Board
  • Organize and coordinate ANDE’s activities including joint activities, observation, and assessment missions to different countries
  • Coordinate different events, workshops, regional & international conferences that target ANDE’s objectives (developing concept notes, coordinating with ANDE’s members and partners to set the objectives, dates, agenda, and other details)
  • Contribute to missions and conferences reports through content production, proofreading, editing, and formatting
  • Research, collect, and document information related to electoral processes
  • Initiate and organize ANDE’s fundraising activities (donors meeting, proposals writing, budgeting, and reporting)
  • Communicate with donors and present regular narrative and progress reports to them
  • Report on projects’ implementation and objectives achievement on a regular basis
  • Participate in and document, all internal/external meetings (meeting minutes)
  • Meet and follow-up with experts recruited within the projects on documents and strategies production
  • Handle logistics for activities and events (taking care of the invitations, air fare & travelling, VISAs, hotels, transportation, venues…)
  • Prepare ANDE’s communication plan and ensure ANDE’s visual identity is conserved
  • Manage ANDE’s website and social media channels
  • Supervise all the Assistant Coordinator’s work and tasks
  • Develop and prepare necessary files and documents for events and delegations (procedures, payment vouchers, banners)
  • Ensure financial documentation standards are met and the documents are eligible and accurate (invoices, receipts, vouchers, timesheets, contracts, attendance sheets, etc…)
  • Other duties as assigned

 

Requirements:

  • Bachelor’s Degree preferably in political science, law, communication arts, business administration or related area
  • Experience of at least 3 years in relevant jobs and familiarity with NGOs work in the Arab region
  • Excellent communication, facilitation, delegation, coordination, and listening skills
  • Spoken and written fluency in English and Arabic
  • Effective research and report writing skills especially in Arabic
  • Excellent computer skills and proficiency in Microsoft Office, especially Word, Excel, and Power Point (skills in Adobe Photoshop, Illustrator, and Premiere desired)
  • Focused with strong organizational skills and high attention to details and able to work with little supervision
  • A self-motivated team player and initiative taker
  • Proven ability to prioritize tasks to meet tight deadlines; organize and manage own and other people’s time/priorities
  • Strong interpersonal skills including responsibility, integrity, teamwork
  • Commitment to cooperative working relationships with ANDE’s staff and community partners
  • High level of cultural sensitivity and adaptability
  • Preparedness to travel in the country and abroad and ready to work on weekends when needed
