Areas of Responsibility:
- Set up an internal system of review/ quality assurance
- Support all team members in projects management documents and reporting process
- Preparing quality assurance reports for the use of management and monitor the work of all teams.
- Oversee the record keeping of the team and prepare appropriate reports for management.
- giving feedbacks to staff.
- Coordinate internal program reviews, and providing feedback to staff (with HR officer).
- Support in community engagement and mobilization (when needed).
- Assist in projects reviews.
- Assist in internal and external audit reviews (programmatic and financial).
- Promotes Capacity building and quality service improvement.
- Dissemination of information regarding quality standards to stakeholders.
- Review and/or prepare policies with respect to project management, field conduct and support in harmonization of approaches.
- Preparing and implementing quality assurance policies and procedures.
- Monitor policy implementation in the field and office settings
- Build the capacity of the team; conducting information sessions and workshops on quality management processes and procedures.
- Training and assisting team members to carry out their quality control function;
- Sampling services to determine whether they meet specifications and quality standards, and initiating corrective action if necessary;
- Review and analyze field reports quality assurance data and making recommendations for improvement to management;
- Compiling reports for relevant management groups.
- Performing routine file visits and quality tests.
- Identifying and resolving workflow by addressing and discussing issues and proposed solutions with project managers, program directors and/or the board of directors.
- Ensuring that standards and safety regulations are observed.
- Documenting quality assurance activities.
- Interpret, build upon, and comply with the organization’s quality service standards.
- Create feedback protocols for implementation across all implemented projects.
- Identify training needs and take action to ensure a cross-cutting compliance within the organization.
- Pursue continuing education on new solutions, technology, and skills.
The Quality Assurance Officer is required to possess the following skills:
- Ensuring absolute quality while adhering to all relevant government legislation and respecting all related SOPs.
- Plan, execute, and oversee review and monitoring of services provided within all projects of to confirm quality conformance to the identified needs, donors’ specifications & AND’s policies and quality deliverables.
- Analyze and investigate complaints or reported quality issues to ensure closure in accordance with AND’s guidelines and external regulatory requirements.
- Develop or update AND’s complaint & feedback; investigation procedures when needed to ensure capture and investigation, as well as proper documentation of complaints.
- Monitor risk-management procedures, and maintain and analyze problem logs to identify and report recurring issues to management.
- Provide training and support to projects’ teams on quality assurance systems, policies, procedures, and core processes
Skills and Qualifications
- Bachelor’s degree.
- Certificate in quality assurance is a plus.
- Superb computer competence, including database management.
- Analytical, problem-solving, and decision-making skills.
- Previous experience in quality assurance or similar field.
- Working knowledge of tools, methods, and concepts of quality assurance, and Knowledge of quality assurance terminology, methods, and tools.
- Solid knowledge of relevant regulatory standards.
- Good communication skills, both verbal and written.
- Excellent data collection and analysis skills.
- Strong attention to detail.
Reporting
The Quality Assurance Officer shall report the program director.
