Première Urgence - Aide Médicale Internationale (PU-AMI) is a non-profit, non-political and non-religious humanitarian NGO. Its objective is to bring about a global response to the basic needs of populations suffering from acute humanitarian crisis and to allow them to recover their autonomy and dignity. In close respect to humanitarian principles, PU-AMI promotes humanitarian access and dialogue with all components of the civil society in Lebanon, and delivers assistance based on the needs, regardless of religion, politics, and ethnic matters. Today, PU-AMI is intervening in 21 countries in Africa, the Near East, Caucasus, Asia and the Caribbean to cover the needs of populations affected by conflict, natural disasters or economic crises. PU-AMI in Lebanon has been implementing emergency and recovery projects in Health, Water, Sanitation, Hygiene, Shelter Rehabilitation and in Livelihood Recovery sectors.

Job Description:

1. GENERAL OBJECTIVE

Under the direct line management of the Grants and Communications Manager, the Grants and Communication Intern supports the department in the development of concept notes, proposals, reports and quality communication channels and products of PU-AMI in Lebanon.

The Grants and Communication Intern supports the work of the Grants department by taking notes of minutes, formatting key documents, supporting the development of visibility and communication material, doing preparatory work for proposals, reports, and meetings, collecting relevant information about the context, humanitarian and development funding, monitoring and updating follow-up tools, supporting the organization of the Grants filing system, and other support tasks with utmost attention to timeliness and quality.

The objectives of this role are to provide support to the day-to-day operations of PU-AMI and build the capacity of the successful candidate in working in grants management, communication and partnerships in the humanitarian and international aid sector. This position is a learning opportunity for a dynamic and motivated young graduate or master’s student who is interested in pursuing a career in the aid sector.

2. RESPONSABILITIES AND TASKS

1. Reporting

  • Support the preparation and update of the reporting schedule
  • Prepare and disseminate relevant reporting templates and guidelines
  • Support with the formatting and review of reports
  • Prepare and disseminate standard writing guidelines (including standard naming conventions for project locations, etc.)

2. Fundraising and proposal writing

  • Support the preparation and update of the proposal schedule
  • Prepare and disseminate relevant proposal and concept note templates and guidelines
  • Support with the formatting and review of proposals and concept notes
  • Monitor relevant contextual developments, including funding updates from institutional donors

3. Communication

  • Support the production of communication content (i.e. photo reports, articles, videos, etc.) to feed the organization's communication channels
  • Support in the management of the organization’s social media accounts
  • Support in the production of visibility materials to meet donor requirements
  • Support in the maintenance of PU-AMI’s visual archive
  • Liaise with PU-AMI HQ Communication team, videographers, graphic designers and other relevant stakeholders to facilitate their work as needed

4. Partnerships

  • Collect information about relevant civil society organizations in Lebanon
  • Update the PU-AMI partner mapping
  • Schedule meetings with relevant partner organizations in support of the Grants and Partnership Coordinator

5. Other

  • Support the organization of PUI-AMI’s Grants filing system
  • Organize and update an online library of relevant humanitarian needs assessments, partners mappings, donor guidelines,  and other useful resources
  • Support the organization of kick-off/project review/close-out meetings for  projects, bringing together key coordination and field staff
  • Take and disseminate notes in coordination, partner and other relevant meetings
  • Translate key proposal, project and communication documents as needed

Job Requirements:

Education Degree: Bachelor degree in political science, international relations or equivalent education/experience;

Work experience: Previous experience in a similar position is not required but is an advantage;

Language Skills: fluent in Arabic and English, French is an advantage;

  • Self-motivated, flexible and adaptable to the needs of the team and organization
  • Very good writing and synthesizing skills
  • Good analytical skills
  • Strong attention to detail, accuracy, and thoroughness
  • Organization and ability to manage priorities and varied workload
  • Good photography, graphic design and/or videography skills are an advantage

Computer skills: Microsoft office, knowledge of Canva, Illustrator, or Photoshop is an advantage.

PUI-AMI Employment Conditions and Benefits:

  • Contract: A Fixed-Term Internship Agreement
  • 32-hour work week from Monday to Friday
  • Duration of the contract: 4 months
  • Monthly remuneration:  600 USD based on PU-AMIs internal salary scale.
