Job Purpose
The Finance Assistant will play a crucial role in supporting the financial operations of Borderless NGO by maintaining accurate financial records, ensuring compliance with policies and donor requirements, and facilitating efficient financial transactions. This role involves regular travel between centers and banks and requires coordination with various departments to support programmatic and operational needs.

Key Responsibilities
1. Financial Operations

  • Prepare, process, and verify payment vouchers, receipts, and invoices.
  • Monitor and manage petty cash transactions, ensuring proper documentation and timely reconciliation.
  • Process payroll, including salary disbursements and tax calculations, ensuring compliance with local labor laws.
  • Ensure timely settlement of financial obligations, including utilities, rent, and vendor payments.

2. Record Keeping and Documentation

  • Maintain an organized and up-to-date filing system for all financial documents, both physical and digital.
  • Accurately input financial data into accounting software and update ledgers.
  • Track and record all financial transactions related to program activities and administrative expenses.
  • Assist in the preparation of monthly, quarterly, and annual financial statements and donor reports.

3. Budgeting and Financial Planning

  • Assist in the preparation of budgets for programs and operations in coordination with the Finance Officer.
  • Track expenditures against approved budgets and flag variances for corrective action.
  • Support in financial forecasting and cash flow management.

4. Compliance and Auditing

  • Ensure all financial transactions comply with organizational policies, donor requirements,and local regulations.
  • Prepare financial documentation and assist auditors during internal and external audits.
  • Conduct periodic reviews to ensure proper adherence to financial procedures.

5. Banking and Cash Management

  • Manage banking operations, including deposits, withdrawals, and fund transfers.
  • Conduct regular visits to the bank to facilitate transactions and address banking matters.
  • Monitor and reconcile bank statements on a monthly basis.

6. Coordination and Communication

  • Work closely with the Program and Partnership Coordinator to align financial operations with project activities.
  • Provide financial and logistical support for workshops, meetings, and training sessions.
  • Serve as a liaison between the finance team and other departments, ensuring clear communication of financial processes.

7. Administrative Support

  • Provide assistance in drafting financial policies and guidelines as required.
  • Conduct financial training sessions for program staff to enhance financial literacy and compliance.
  • Support the Managing Director in preparing financial analyses and summaries for decision-making.

8. Risk Management

  • Identify and report any potential financial risks or discrepancies.
  • Implement measures to enhance financial controls and prevent fraud or mismanagement.

Qualifications and Skills - Education and Experience

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  • Minimum of 3 years of experience in financial management or accounting, preferably in an NGO environment.

Technical Skills

  • Proficiency in accounting software (e.g., QuickBooks, Xero, Silicon) and advanced knowledge of Microsoft Excel.
  • Strong understanding of donor compliance requirements and financial reporting standards.
  • Familiarity with financial operations in an NGO context, including budget management and grant reporting.

Soft Skills

  • Excellent organizational and multitasking abilities.
  • High attention to detail and accuracy in financial tasks.
  • Strong analytical and problem-solving skills.
  • Effective communication and interpersonal skills to work across teams and with externalpartners.

 Other Requirements

  • Willingness to travel frequently between centers and banks as needed.
