Under the supervision of the Logistics, procurement and security Manager , the Logistics and procurement assistant is responsible for overseeing and supporting all the logistics and procurement activities which include supporting in tendering process, implement market assessments, collect quotation’s in addition supporting in the vehicles logs in order to maintain the proper documentation. And support in security tasks when it is needed.
Objective 1: Tendering
Conduct market assessment for the requested items
Ensure the PR has all the needed information and approved.
Prepare RFQ or Tender document to advertise
Collect the offers (quotations or tender).
Support in committee of evaluating the bidders to choose the best supplier
Create draft contract for the winner and share with the line manager.
Conduct field visits with program team to ensure the proper quality and delivery of the items.
Ensure applying all AN policies and guidelines throughout the process.
Objective 2: Support in Office requirements
Supported in coordination with finance team and service providers to ensure paying the regular expenditures (Monthly, quarterly, yearly)
Ensure updating or renewal of contracts (office, guesthouses. Etc)
Follow up and update on the inventory list of Monthly bases
Ensure the proper labelling for all inventory items
Support in scanning and documentation of all files
Follow up on maintenance issues in the premises
Ensure purchasing all needed items for the premises and staff
Objective 3: Fleet
Conduct monthly check up on the cars and fill out the needed forms
Report the maintenance to the line manager
Ensure the regular maintenance of the vehicles
Ensure the presence of validity of the safety tool in the vehicles
Ensure that car log books are filled out properly by the staff
Share a monthly report (conditions and expenditures) with line manager
Objective 4: Reporting and Communication
Provide updates on daily basis for the line manager
Ensure sharing the requested reports with line manager and other respective persons
Coordinating with respective departments (finance, program, etc…)
Support in the security tasks when it is needed
Ideal Profile:
Education: Bachelor’s degree in Business and administration or other related fields
Experience: at least 2 years of professional experience in procurements and logistics activities
Previous experience with NGO/INGO is a must\
Previous experience in market assessment in an asset
Profession in MS Office
Fluent in English
A driving license is a must
Good analytical skills and problem-solving skills
