Logistics Officer (Maternity Replacement)

PRESENTATION OF THE ORGANIZATION

SOLIDARITES INTERNATIONAL (SI) is an international humanitarian NGO which, for more than 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs for food, water and shelter. Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.

Solidarités International (SI) is determined to prevent and fight all type of abuse – all act of exploitation, abuse and/or sexual harassment (SEAH) against members of beneficiary communities or collaborators, fraud, corruption, violation of persons and/or property, funding of activities harmful to human rights – that could be perpetrated in the frame of its interventions. DESCRIPTION OF THE POSITION

General objective:

We are looking for maternity replacement for our SI Colleagues, who is playing the role of Logistics officer. Able to work with the Current situation in Lebanon, that supporting the IDP`s and Syrian refugees.

The main challenges:

• Little bit time for the deadline of procurement files.
• Service providers and suppliers issues in NORTH area.
• Lack of visibility and control of the market.

Priorities for the 2/3 first months:

• Drafting service agreement for area not listed in the FRA`s Lifesaving activities)
• Ensure the cost efficient for the fleet in NORTH region.
• Ensure the efficiency of drafting contracts (GOODS and WORKS)

Responsibilities and main activities:

Knowledge and monitoring of the market:

• Take part in the analysis of the local purchasing environment
• Update price lists and supplier files

Implementation of purchasing process:

• Receive and process requests for quotes and IOFs after verification and approval by his/her line manager
• Implement purchases while respecting the rules and approval procedures established by donors and Solidarités International
• Ensure that products purchased correspond to the requirements of the purchase officer's requirements in terms of quantity and quality
• Ensure that the format of, and information on quotes and invoices comply with regulations
• Ensure compliance with administrative procedures for the management of advances and payment of suppliers
• Establish and archive purchasing files in accordance with the rules of Solidarités International and its donors
• Monitor and update IOFs electronically

Fleet management and maintenance

• Participate in drawing up mechanical assessments
• Verify that the proposed rental vehicles comply with Solidarités International regulations
• Organize the schedule of vehicle movements in collaboration with his/her line manager

Care/vehicle maintenance/monitoring

• Maintain the vehicle and his/her equipment and ensure the safety of all passengers

• Take part in the basic upkeep of the vehicle, carry out up-to-date care and maintenance of the vehicle according to established procedures and immediately inform his/her line manager of any problems
• Keep the vehicle clean
• Fill in the logbook and monitoring documents
• Supervise the loading and unloading of the vehicle as well as the organization and safety of packages in his/her vehicle
• Reporting/Capitalization:
• Ensure the compilation of price lists and suppliers
• Ensure the monitoring of PL`s and inform program managers of the status of their orders
• Ensure the archiving of logistics documents linked to purchases

PROFILE NEEDED

Studies : Beshore’s degree in business or similar field – supply chain management or similar

Experience : at least 2 years of experience in similar position with INGO

Language : English

IT : O365 – excel – LINK (ERP)

Qualification : gain industry-specific professional experience – impeccable time-management – ability to adapt to change – understanding of the global market – experience working with ERP systems.

SI WILL OFFER YOU

A salaried post : 1325  USD as basic salary

Vacation : 1.75 paid leave per month
