Job Profile

 

  1. Required qualifications, competences and experience.

 

Qualifications

  • BA/MSc in business management with a focus on finance, controlling, purchasing or contract management or similar area.

 

Professional experience

  • At least 3 years’ professional experience in a comparable position

 

Other knowledge, additional competences

  • Good knowledge of the English and Arabic languages (speaking, reading and writing), German is a plus
  • Good working knowledge of ITC technologies (related software, phone fax, email, the internet) and computer applications (e.g., MS Office)

 

  1. Responsibilities

The procurement assistant:

  • assists in all process for preparing contracts of procurement of services and goods.
  • prepares inquire offers from providers.
  • send documents and follow up on signatures of contracts and paperless approvals from GIZ internal documents.
  • filing original documents and scan copies in DMS in line with GIZ rules and regulations.
  • Organize the electronic and paper filing.

 

The procurement assistant performs the following tasks:

 

  1. Tasks
  1. Purchasing, procurement of goods (Prosoft)

The procurement Assistant:

  • prepares the required documents and supports the (Junior) Procurement Specialist in materials and equipment locally, issues invitations to tender and processes orders
  • assist projects and providers with the safe transport of goods to destination.
  • maintains data relevant for procurement and tenders in ProSoft and DMS.
  • assists providers in invoices procedures.
  • assists projects in delays regarding delivery.
  • file the final documents in DMS and paper in line with GIZ’s filing rules.
  • ensure DMS and paper file are aligned.

 

  1. Preparation of local contracts with individuals, consulting firms and Local Subsidies (Cosoft)

The procurement assistant:

  • Prepares according to instruction from Procurement Specialist local contracts
  • informs the Procurement Specialist on time about the status of contract preparation and related matters, particularly in the event of starting delays
  • assists providers in invoices procedures.
  • keeps contract tracking lists updated.
  • file final documents in DMS and paper in line with GIZ’s filing rules.
  • Ensure DMS and paper file are aligned.

 

  1. Procurement of Transportation Services, Eventmanagement, Catering, Communications Services, Rent and other (with local contract templates)

The procurement assistant

  • Prepares according to instruction from Procurement Officer procurement of tickets for domestic and international travel.
  • Get offers, prepare evaluation tables and award of orders
  • assists providers regarding invoices procedures
  • file final documents in DMS and paper in line with GIZ’s filing rules
  • ensure DMS and paper file are aligned

 

  1. Other duties/additional tasks

 

The procurement Assistant performs other duties and tasks at the request of management.
