General Background
The Receptionist will assist in organizing and coordinating the reception area of UNHCR Office. The incumbent has no supervisory role and will always function under the direct supervision of a (Senior) Associate or an Officer who is required to monitor the performance of the incumbent and provide regular guidance.
The incumbent needs to be a team worker and ready to quickly adapt to a fast paced work environment.
Purpose and Scope of Assignment
- Handle persons of concern with respect and dignity ensuring they have fair and transparent access to the Reception centre and registration procedures
- Identify and fast-track persons with specific protection needs and vulnerabilities and refer accordingly to internal focal points.
- Maintain open and respectful communication with persons of concern, colleagues and supervisors thus creating a conducive working environment.
- Maintain accurate and up-to-date records and data about refugees and asylum seekers received at the reception centers by updating the database as per Registration SOPs.
- Assist with creating, organizing, archiving and maintaining of physical and digitized files, including photocopying and scanning of documentation prior to interviews with the Registration Unit.
- Upon request, support at the Call Centre in receiving and placing calls.
Monitoring and Progress Controls
- Persons of concern must have a full and fair access to UNHCR staff and services while approaching or contacting the reception for different purposes and their privacy is respected.
- The reception and counselling of asylum-seekers and refugees is conducted in accordance with UNHCR policies and standards.
- Vulnerable asylum-seekers and refugees are timely identified and referred for appropriate services.
