Job Summary:

HR Assistant is required to provide support to HR Officer in the recruitment process. He/she will responsible to maintain and update employee's file. She/he will also be required to follow-up with documents and maintain HR correspondence in relevant files.

Duties and Responsibilities:

  1. Provide support in recruitment process
  1. Prepare advertisement as per JD and SRF and publish ad in the news paper ( if required)
  2. Prepare SR for the advertisement
  3. Upload JD on job portals and on Concern website
  4. Initial short listing according to the advertisement
  5. Chalk out the schedule of the interview including timings, for test and interview with coordination of relevant staff and per diem
  6. Invite candidate by phone calls and detail email as per standard
  7. Ensure that JD, CT policy , P4 and policy is shared before the interview through email
  8. Process their perdiem as per policy
  9. Ensure NIC verification and Professional References
  10. Maintain advertisement file and rejected candidates file.

 

  1. Maintain incoming CV and respond them accordingly
  1. Maintain electronic CV is relevant folders, If there are any Hard Copies maintain them in relevant files and folders
  2. Reply to the CV emails according to standard format

 

  1. Prepare and give induction to new and expat staff
  1. Prepare induction pack and plan and send to all field location
  2. Prepare and send induction plan after coordination with relevant staff to HR focal person and inductors
  3. Give induction to new joiners in Islamabad and train HR focal person for induction at field locations

 

  1. Maintain and update personnel file and box file
  1. Email the checklist of required documents along standard document of HR to newly hired staff
  2. Place document in chronological order and inform employee of any missing document
  3. Ensure that employee file is completed in 3 weeks time of his/her hiring
  4. Keep update the existing employees file
  5. Prepare and maintain box file of relevant documents

 

  1. Maintain Attendance sheet and prepare payroll information
  1. Check attendance sheet on daily basis and ensure that employees are marking their attendance
  2. Mark leaves accordingly
  3. Finalize attendance sheet on 21st  of each month mentioning the leaves and update leave sheet and leave records accordingly
  4. Prepare new attendance sheet for the coming month before 21st   of each month
  5. Submit signed copy of attendance sheet to Finance on 21st of each month along with salary memo
  6. Follow up with field office for their monthly attendance and leave balance sheet and place it in respective files 
  7. Display leave balance sheet and any other HR related document on notice board

 

  1. Correspond with printer for identification cards printing
  1. Prepare Supply request for cards printing
  2. Provide scan copy of photograph and other relevant information to printer for  cards printing
  3. Ensure that employee has received their card with a month time of his/her joining

 

  1. Cash Forecast
  1. Provide timely information on cash forecast to finance

 

  1. Follow up with line manager or the relevant staff on exit clearance form and submitted to finance within 15 days of employees last working day
  1. Follow up with all the relevant documents i.e. OPD sheet, exit interview, email from staff member, launch sheet, leave sheet etc
  2. Follow up and interpret the exit clearance.
  3. Follow up with finance on final payment

 

Note: Performance standards are mentioned above with roman numbers

Skills/Experience Required.

  1. BS Degree in HR management.
  2. At least 2 years of experience in similar capacity.
  3. Excellent communication skills and a pleasant personality.
  4. The ability to work in a systematic and organized manner.
  5. Knowledge of MS Office and e-mail skills.
  6. The ability to priorities competing demands.
  7. Pays attention to details.
  8. Sympathy with the aims and objectives of Concern Pakistan.
  9. Commitment to humanitarian principles and actions.
  10. Commitment to Concern equal opportunity and gender practices.

This Position will be under grade 7, with a range of between 998 USD and 1,273 USD as a maximum. All new employees will start at the first step of the grade and step advancement will be based on internal seniority policy.
