Job Summary:
HR Assistant is required to provide support to HR Officer in the recruitment process. He/she will responsible to maintain and update employee's file. She/he will also be required to follow-up with documents and maintain HR correspondence in relevant files.
Duties and Responsibilities:
- Provide support in recruitment process
- Prepare advertisement as per JD and SRF and publish ad in the news paper ( if required)
- Prepare SR for the advertisement
- Upload JD on job portals and on Concern website
- Initial short listing according to the advertisement
- Chalk out the schedule of the interview including timings, for test and interview with coordination of relevant staff and per diem
- Invite candidate by phone calls and detail email as per standard
- Ensure that JD, CT policy , P4 and policy is shared before the interview through email
- Process their perdiem as per policy
- Ensure NIC verification and Professional References
- Maintain advertisement file and rejected candidates file.
- Maintain incoming CV and respond them accordingly
- Maintain electronic CV is relevant folders, If there are any Hard Copies maintain them in relevant files and folders
- Reply to the CV emails according to standard format
- Prepare and give induction to new and expat staff
- Prepare induction pack and plan and send to all field location
- Prepare and send induction plan after coordination with relevant staff to HR focal person and inductors
- Give induction to new joiners in Islamabad and train HR focal person for induction at field locations
- Maintain and update personnel file and box file
- Email the checklist of required documents along standard document of HR to newly hired staff
- Place document in chronological order and inform employee of any missing document
- Ensure that employee file is completed in 3 weeks time of his/her hiring
- Keep update the existing employees file
- Prepare and maintain box file of relevant documents
- Maintain Attendance sheet and prepare payroll information
- Check attendance sheet on daily basis and ensure that employees are marking their attendance
- Mark leaves accordingly
- Finalize attendance sheet on 21st of each month mentioning the leaves and update leave sheet and leave records accordingly
- Prepare new attendance sheet for the coming month before 21st of each month
- Submit signed copy of attendance sheet to Finance on 21st of each month along with salary memo
- Follow up with field office for their monthly attendance and leave balance sheet and place it in respective files
- Display leave balance sheet and any other HR related document on notice board
- Correspond with printer for identification cards printing
- Prepare Supply request for cards printing
- Provide scan copy of photograph and other relevant information to printer for cards printing
- Ensure that employee has received their card with a month time of his/her joining
- Cash Forecast
- Provide timely information on cash forecast to finance
- Follow up with line manager or the relevant staff on exit clearance form and submitted to finance within 15 days of employees last working day
- Follow up with all the relevant documents i.e. OPD sheet, exit interview, email from staff member, launch sheet, leave sheet etc
- Follow up and interpret the exit clearance.
- Follow up with finance on final payment

Skills/Experience Required.
- BS Degree in HR management.
- At least 2 years of experience in similar capacity.
- Excellent communication skills and a pleasant personality.
- The ability to work in a systematic and organized manner.
- Knowledge of MS Office and e-mail skills.
- The ability to priorities competing demands.
- Pays attention to details.
