About us
International News is at the heart of the BBC.  BBC News Group will employ 2000 staff in 98 international locations.  It provides multimedia services to a global weekly audience of over 300 million in English and 27 languages around the clock, every day of the year.  The bureaux react to breaking news, provide news updates and analysis and produce live programme output.  In a highly competitive market, delivering to both UK Licence Fee payers and commercial partners, BBC News services must be reliable and consistent. In 2011, Newsgathering, World Service and Monitoring teams came together into one News Group and in 2014, all World Service and Monitoring activity transferred to Licence Fee funding.  
Context
The International Bureaux team supports all News Group bureaux. The International Bureau Admin Assistant reports to the IB team. 
Dimensions
You will report in first instance to the Bureau Manager for the day-to-day running of the Beirut Bureau’s administration. You will be responsible for the supervision of the administrative affairs for all parts of BBC News group in Lebanon.  In doing so, the post holder will have to work with the IB and Global News Finance teams, as well as local suppliers where necessary. You will be responsible for the administration of strategic initiatives, and best practice in the Beirut bureau and will work closely with the Middle East Editors in Lebanon, providing proactive support for planning and deployment decisions, as well as providing purchasing assistance. You will also have support from and close contact with the International Hub Bureau manager, Jerusalem and the International Manager responsible for the Middle East region. Within the context above, the International Bureau Admin Assistant will be responsible for timely and effective day-to-day co-operation between the Beirut Bureau and the relevant authorities in Lebanon, ensuring best practice in the BBC’s compliance with local regulations governing such areas as financial, tax, media and employment law. 
Main duties
1.    First point of contact for all guests arriving for interviews.2.    General research of stories as requested.3.    Organising transport for guests and staff.4.    Assisting with interviews, simul-recs, location filming as required by the editorial team.5.    Assisting with interviews, for new BBC staff6.    Assisting guests in the TV and Radio studio for live transmissions.7.    Directing calls for staff and dealing with requests from the public for information about the BBC.8.    General bureau administration of arranging permits, visas etc.9.    Keep security watch on the office.10.    Responsibility for all mail operations, fax communications etc.11.    Reviewing invoices and coding appropriately for payment.12.    Ordering of couriers, shipments etc. Managing office stationary supplies.
13.    Responsibility for hotel reservations and arrangements for visiting BBC staff etc.14.    Escalating issues to the Bureau Manager, Beirut, as appropriate.15.    Ensuring the Beirut Bureau complies with all relevant BBC safety procedures.16.    Keeping other team members informed of issues affecting them.
Person Specification

Ability to prioritise, to use initiative and to work effectively under pressure without close supervision.

Able to communicate effectively with a range of people and at all levels of the BBC.

Good planning and organising skills and the ability to prioritise effectively

Practical knowledge and skills in using a range of packages, including Word, Excel and accounting packages.

Ability to meet deadlines, often under pressure.

Experience of producing timely and accurate information and reports.

Able to work with attention to detail and accuracy.

Experience of and ability to work flexibly and pragmatically in an operational environment.

A lively interest in the broadcast news, online news and wider media environment and appreciation of the particular demands it may place on financial and administrative work.

Good working knowledge of Health and Safety procedures of the BBC.
