Job Description

Scope of responsibility:

-  Manage the general functioning of the warehouse.

- Check, record and store goods received, under the supervision of the line manager.

- Regularly check inventory levels (physical counts) and monitor consumption.


Function responsibilities include:

1. Support the stock Manager

  • Maintain the adequacy of storage conditions.
  • Help with physical inventories.
  • Help to order preparations and sendings to the different MSF structures (packing, transport…)

2. Receipt and storage of goods

  • Check the number of packages against the cargo manifest, check packaging and cases and inform the line manager of any problems (missing or damaged goods, etc.).
  • After receipt, immediately update the stock cards, recording the reference number of the receipt document, and store the goods.
  • Give the cargo manifest, packing list and certificate of the items received to the line manager, to centralise the filing of these documents.
  • Ensure that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).


3. Stock management and administration

  • Ensure that all necessary information is correctly and fully recorded on the stock cards: MSF code, batch number, expiry date, date of receipt or delivery, stock balance (incoming/outgoing), receipt and delivery document reference numbers.
  • If stock management is computerised, complete all the tables for monitoring stock movements and consumption.
  • Assist the line manager with preparation of the monthly stock report.
  • In conjunction with the line manager, perform physical stock counts in accordance with the frequency defined with the technical adviser (at least once every 4 months).
  • Inform the line manager when the stock of goods is nearing the minimum or maximum threshold, and regularly provide the line manager with a list of the items with expiry dates within the next six months.
  • Monitor the temperature of the warehouse and ensure that products requiring cold chain (vaccines/insuline) are always stored at a suitable temperature (between +2°C and +8°C).


4. Reporting

  • Prepare a weekly report of movements of goods (incoming/outgoing) in the warehouse.
  • Immediately inform the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse.


5. Other

  • Carry out various maintenance tasks (e.g. setting up racks).
  • Ensure that the warehouse is kept in good condition (cleaning).
Experience required: Education degree: High School Field of education: Required qualification: • Secondary school • Flexibility, resourcefulness, ability to work in a multi-disciplinary and multi-cultural environment, open-mindedness, good communication skills, ability to listen, rigorous Experience required: Ideally, Paramedical or commercial background. Stock management assistance experience is a definite asset.
